Home services · Software for cleaning service companies

Keep every site, shift, checklist and contract on one record per client.

Cleaning service software holds each client site as one record with its contract, its checklist and its visit schedule. Supervisors put cleaners on shifts. The cleaners log completed work from a phone, and billing follows the contract. Supplies, complaints and inspection scores are all linked to the same site record, so one search answers a client’s question about a visit.

At a glance

A cleaning service company sells reliability. Offices, homes, clinics, schools and shops expect the same crew, the same checklist and the same hours, week after week, and staff turnover and absence make that hard to keep.

Most firms run it from a roster sheet, a call log and an invoicing file. The software joins the three on one record. A walk-through follows one client site through a month of visits and the invoice at the end.

How the work runs today

Work comes from contracts for offices and buildings, regular visits to homes, and one-off jobs such as deep cleans, end-of-tenancy cleans and post-construction clean-ups. Each site has its own scope: washrooms, floors, glass, tasks, frequency, key holders, alarm codes and special instructions. The office builds a weekly roster, matches cleaners to sites by distance and availability, and covers absences at short notice. Many cleaners work part time. Several addresses share one person.

On the day, cleaners arrive, follow the checklist, and take microfibre cloths, mops and sanitiser from the van or the site cupboard. They report anything unusual, such as a spillage or a broken lock. Supervisors inspect sites on a rota. Clients ring. A visit was missed, or a corner. Invoices go out monthly against the contract, with one-off work such as a carpet shampoo, a window round or a floor buffing added as separate lines. Wages follow hours worked and are checked against the roster.

Where it breaks

What goes wrong for cleaning service companies without a proper system.

Rosters change every day

Absence, holidays and last-minute requests move people between sites. The rota is wrong by lunch, and a keyholder waits at a locked door for a cleaner who was moved.

Site scope lives in people’s heads

The checklist, the key arrangements, the alarm routine and the special instructions for each site are known by one or two cleaners, so a replacement has to ask.

Quality is argued, not measured

A client says a floor was missed or a washroom was left streaked. With no visit log and no inspection note from the supervisor, there is nothing to look at.

Hours and wages do not match

Cleaners record hours on paper or by message. Each pay period, the hours are reconciled against the roster by hand, and travel between sites is argued case by case with every cleaner.

Supplies are issued without a record

Disinfectant, bleach, trolley stock and bin liners go out in bulk. Cost per site is guessed, and contract pricing is set without it.

What the software does

What we would build for cleaning service companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Clients, sites and contracts

Hold each client with their sites, scope, access details, key holders, visit frequency, pricing basis and renewal date on one record.

Roster and shift allocation

Build the weekly roster by site and cleaner, handle absence cover and swaps, and let each cleaner see their own shifts on a phone with the key holder and alarm routine.

Checklists and inspections

Give each site its task list, from dusting and vacuuming to descaling a washroom. Cleaners tick tasks and add photographs, and supervisors record inspections with a score and notes.

Attendance, hours and wages

Record arrival and departure by site, compare against the roster, and work out wages, overtime and advances from the hours. Travel time between sites is shown on its own line.

Supplies and equipment

Track chemicals, microfibre cloths, consumables and machines such as a floor scrubber or a vacuum by van and site. Reorder levels and the cost of supplies are shown for each contract.

Complaints, billing and renewals

Log client complaints against the visit, raise invoices from the contract with extras added, and see which contracts are due for renewal. Credit notes for a missed visit sit beside the original invoice.

Common questions

Questions cleaning service companies ask before they call.

Does it work for both homes and commercial sites?

Yes. A home visit and an office contract are both sites with a scope and a schedule. Pricing basis and invoicing cycle can differ for each, from a weekly home clean to a nightly office round.

Can cleaners see their own shifts?

Yes. Each cleaner opens their own shifts and checklists in a phone browser, ticks tasks and adds photographs. Nobody needs to ring the office for an address or a door code.

Can we cover absences at short notice?

Yes. Dispatch sees who is free and near the site, assigns cover, and the cleaner is told at once. The replacement sees the site’s checklist, key arrangements and access notes before leaving the house.

Can we track supplies for each contract?

Yes. Supplies issued to a van or a site are recorded, and cost can be read beside the contract’s billing. Reorder levels for disinfectant, liners and cloths are set with you.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
