One connected system for quotes, crews, job cards, supplies and repeat bookings.

Manage carpet cleaning enquiries, quotations, bookings, crew schedules, job cards, chemicals, machines, invoices and service reminders in one system. A customer record holds every property, room and visit, so the office and the crew work from the same facts. Crews see their day on a phone and add photographs on site.

  • Fibre types, packages and your price per room, stair and rug entered to mirror how you quote
  • Customer files, upcoming bookings and unpaid bills carried over
  • Our team amends the rate list whenever you ask

Carpet Cleaning Management Software gives carpet and upholstery cleaners one place for enquiries, quotations, bookings and job cards, set up by GullySystem. Customers, properties and rooms sit on one record. Crews see their day on a phone and note condition, stains and products used. Chemical stock, machine hours, invoices and reminders follow from the same jobs.

Where it breaks today

What goes wrong before the software.

Enquiries arrive in many places

A ring on the phone, a web form and a message from a letting agent all ask for a price. Without one list, a quote is missed or sent twice.

Quotes are guesses at area

Rooms are described by phone, and the price is set on an estimate. The crew finds a different area on site, with a stair runner and a hearth rug nobody mentioned, and the bill is questioned.

Condition is not recorded before work

Worn traffic lanes, burn marks, pet urine patches and old stains are present before the extraction wand is switched on. With no record, the cleaner is blamed for them afterwards.

Day plans ignore travel and drying

Crews are sent by booking order, not by area. Time is lost on the road, and air movers left drying one home are not collected on time.

Chemicals and machines are not tracked

Pre-spray and rinse stock is counted by looking at the shelf. Truckmount and portable extraction machines run for hundreds of hours with no service record, until a pump fails.

Past customers are never contacted

A customer whose wool carpet was cleaned last spring is a likely booking this spring. Nobody rings, because nobody has the date.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A call, form or message is logged with the property, the rooms, the carpet, rug or sofa fibre, and any parking or access notes for the van.

  2. 2

    Quotation

A quote is built from your rate list by area, room or package. The customer accepts it, or asks for a visit and a moisture check first.

  3. 3

    Booking and crew

The accepted quote becomes a booking. Crews and vans are assigned, and the day is grouped by area so travel stays short and drying time is allowed for.

  4. 4

    Work on site

The crew notes condition and stains, records pre-spray, detergent and protector used, and takes photographs. Extra items found, such as a rug or stairs, are added to the card with approval.

  5. 5

    Billing and payment

The invoice comes from the job card. Payment is recorded by card, transfer or cash, and commercial customers are billed on their contract schedule.

  6. 6

    Reminder and rebooking

A reminder is sent when the interval for that customer has passed. A reply turns into the next booking, usually for the same rooms.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and customers

Log each enquiry with source and property details, and hold customers, properties and rooms on one record with their visit history, fibre types and parking notes.

Quotations and rate lists

Build quotes by area, room, stair or package from your own rates, with wool rugs, viscose upholstery, curtains and extras as separate lines. Every revision is kept.

Bookings and crew schedule

Plan crews, vans and slots by area and travel, allow for drying and return visits to collect air movers, and move a booking without losing its notes.

Job cards with condition notes

Record the carpet’s condition before work, traffic lanes, stains found, products used, extras agreed and photographs after, all on one card that settles a later dispute.

Chemicals and consumables

Track pre-spray, detergent, neutraliser, pads and bonnets by van and store, with reorder levels and issues against each crew. The weekly count is checked against each van’s issue sheet.

Machines and equipment

Keep a register of truckmounts, portable extractors, rotary tools, dehumidifiers and air movers, with run hours, service dates and the crew that holds them.

Invoices and payments

Turn a closed job card into a tax invoice, record card, transfer or cash receipts, and view each customer’s balance with the oldest bill at the top. Landlords see a statement.

Commercial contracts

Hold contracts for offices, hotels and rental properties with visit schedules, floors and areas covered, pricing basis and renewal dates, so each scheduled visit creates its own job card.

Reminders and repeat bookings

Set a cleaning interval for each customer, send reminders when it falls due, and turn replies into bookings. Customers who decline can be paused.

Crew attendance and pay

Mark crew attendance, record hours by job, and work out wages, van allowances and any commission from the jobs completed that week.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Each call, form or agent message is logged with its source and property details, so a quote request is followed up and not mislaid.

  • Quote & Proposal Management

Quotes are priced from the company’s own rates by area, room, stair or package, with rugs and extras as separate lines and every revision kept.

  • Technician Scheduling

Crews and vehicles are placed against the day’s bookings by area, so travel stays short and drying fans can be collected on the next visit.

  • Job Cards

One card holds the carpet’s condition before work, the stains found, the products used and the photographs after, ready for any later complaint.

  • Stock Tracking and Alerts

Solutions, pads and other consumables are issued to each van and counted, with a reorder level that warns the store before a crew runs short.

  • Asset AMC Tracking

Extraction machines, rotary tools and drying fans carry run hours, service dates and warranty details, so servicing is planned before a breakdown.

  • Service Reminders

Each customer has a cleaning interval, and a reminder goes out when it falls due, so a clean last spring leads to a booking this spring.

  • Invoice Management

An invoice is raised from the closed job card, with extras agreed on site included, and payments by card, transfer or cash are posted against it.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See jobs booked, quotes open, chemicals used against billing, repeat customers and balances owed, and judge whether a van earns more than it costs to run.

For the office

Log each enquiry, write the quote, lay out every crew’s day by area, send the reminder and bill the job from its card.

For cleaning crews

Open the day’s jobs on a phone, note condition and stains, add photographs and record what was used, including rinse and protector.

For the store

Receive chemicals, issue them to vans, and see which extractors and air movers are due for service.

Reports

The numbers the owner asks for.

  • Quotations sent, won and lost
  • Jobs completed by crew and area
  • Chemicals used against jobs billed
  • Machine run hours and service due
  • Repeat customers and reminders sent
  • Dues by customer, oldest first
  • Contract renewals coming up
Good fit

Who this is built for.

  • Carpet and rug cleaning companies working in homes and offices
  • Upholstery and curtain cleaners who send crews to the customer
  • End-of-tenancy cleaners who work with letting agents and landlords
  • Water damage and drying firms that deploy fans and extraction machines
  • Commercial cleaners who hold contract floors for hotels and offices
Honest answer

When it is not the right choice.

  • One person with a van and a short list of regulars will cope with a paper diary and a mobile.
  • A firm whose main trade is daily office or house cleaning will find House, Home Cleaning and Janitorial Management System a better match.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rates and services

Fibres, area bands, stair and room rates, rugs, upholstery, protector and deodoriser extras are the first things loaded, priced as on your current rate card.

Job card fields

The condition checklist, the stain types and the products on the card are arranged to suit how your crews actually work, from hot water extraction to encapsulation.

Reminder intervals

Gaps between cleans and the text of each reminder follow how you look after repeat customers, and we agree both with you early on.

Customers and balances migrated

From the job book or sheet you use today come each customer, their properties, upcoming bookings and any bill still unpaid.

Currency and tax settings

The tax line on a cleaning invoice, its currency and its layout follow local rules, and we confirm them with you before the first bill goes out.

Hosted by GullySystem

GullySystem looks after hosting, so the front desk and every van see identical job records. Our staff change your area rates, stain treatments and upholstery lines whenever you ask.

Common questions

Questions owners ask before a demo.

Can quotes be priced by area, room or package?

Yes. Rates can be entered for each basis, and a quote can mix them. A package for a whole flat sits beside per-stair, per-rug and per-sofa lines.

Can crews record stains and the products used?

Yes. The job card has fields for condition before work, stains found, products used and photographs after. Those fields are set to match your cleaning method.

Does it plan routes?

It groups a day’s bookings by area so the office can sequence them. It does not draw a map route. Mapping tools can be connected if you use one.

Can we run commercial contracts as well as home jobs?

Yes. A contract holds its sites, floors, visit schedule and pricing basis. Each visit creates a job card, and invoices follow the contract terms.

Can we send reminders automatically?

Yes. A reminder goes out when a customer’s interval passes. You choose the channel and the wording, and you can pause a customer who does not want them.

Does it track chemicals and machines?

Yes. Stock of solutions is issued to each van and reordered at a set level. Extractors and air movers carry run hours and service dates.

Can open bookings and balances be moved?

Yes. Bring the customer list, each property, the bookings still to be done and the bills still owing, and the office staff tick through a sample against your diary.

Who owns the data?

You do. The quotation states how customer lists, job sheets and invoices are handed back to you.

What does it cost?

No price is published. What you pay depends on how many staff log in and which modules you switch on. A demo on carpet and upholstery jobs comes before any figure, which then arrives in writing.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
