One connected system for fence quotations, material, installation crews, gates and invoices.
Handle fencing enquiries, measured runs, quotations, material orders, yard stock, installation crews, gates and invoices from one record per fence. From first site visit to last payment, every fence keeps its own runs, material issued and money owed. Phones show crew leaders the day’s jobs, while each repair call leads back to the original install.
- Your post, panel, rail, gate and labour prices keyed in as your estimators quote them
- Client list, running jobs and balances still owed carried across
- Rate and fence type changes made for you by GullySystem staff on request
Fencing Contractor Management Software from GullySystem serves contractors and gate installers. It covers enquiries, quotations, material orders and installation jobs. Each fence carries its measured runs, posts, panels and gates, the crew days spent and the invoices raised. Boundary and utility notes stay on the job. Each repair is logged on its own fence. Nothing gets lost.
What goes wrong before the software.
How the work flows through it, step by step.
- 1
Enquiry
A homeowner or site manager asks for a fence by phone, web form or message. It is logged with the client, the address and the kind of fence wanted.
- 2
Site visit and quotation
The estimator walks each run, records lengths, heights, slopes and gates, and photographs the line. The estimator prices the quotation from the stored rate list.
- 3
Order and stock
Acceptance turns the quotation into a job. Material is taken from yard stock or ordered, and each delivery is checked against the order.
- 4
Installation
A crew is assigned for the day with the job sheet, utility marks and boundary notes. The crew leader marks the job done and adds photographs.
- 5
Billing
A deposit and a final invoice are raised from the quoted total, with the tax settings for your country. Receipts are posted against each.
- 6
Aftercare
Warranty terms stay on the job. A returning client’s repair goes on that same fence, beside the material first used.
What is inside.
Every module can be switched on, left out or changed to match how your team already works.
The business modules it is built from.
Each one is also available on its own, or inside a system built for you.
- Lead Management
Each fence enquiry is logged with source and address, the site visit is booked, and run measurements and photographs stay on the client record.
- Estimate/Quotation Management
Quotations are priced by length from the firm’s rates for each fence type, gate and fitting, and every revision is kept in the open list.
- Work Order Management
A job sheet gathers the runs, gates, material and crew for one fence, with boundary and utility notes the crew leader reads before work starts.
- Purchase Order Management
Orders for panels, posts and rails go to suppliers against a job, so what was asked for and when it should arrive is written down.
- Stock Tracking and Alerts
Every post, panel and rail received, issued or returned is recorded, and an alert shows when a size falls below the level set for it.
- Attendance & Time Tracking
Installer and helper days are marked by job, and wages and advances follow from those entries instead of an end-of-week reconstruction.
- Invoice Management
Deposit and final invoices come from the quoted total with the tax settings for the country, and each receipt reduces the client’s balance.
- Ticket Management
A repair report becomes a numbered ticket tied to the original fence, with an owner, a visit date and the material used on the fix.

Questions owners ask before a demo.
Can one job hold several fence types and gates?
Yes. A property may need timber at the back, mesh along a side and a metal gate at the front. Mixed fences are common. Each run carries its own measurements and rate, and all of them roll into one quotation.
Will quotations use the prices we already charge?
Yes. Rates are entered once per fence type, gate and fitting, and each quotation picks from them. Each quotation revision is saved beside the first, so the original fence price stays on file.
Does it track the stock in our yard?
Yes. Items received, issued to jobs and returned are recorded, with reorder levels for common sizes. After a walk round the yard, a counted figure replaces the book figure.
Can a crew leader work from a phone on site?
Yes. The leader opens the day’s list on a phone, reads the site notes and ticks off each run as it is finished. Poor signal on a hillside farm only delays the sync.
Can boundary and utility notes sit on the job?
Yes. Notes, photographs and the client’s confirmation of the line sit on the job. The crew reads them before digging.
How are repair calls handled?
Each call becomes a ticket tied to the original fence. The office sees who installed it, what material was used and whether the work is still within its warranty terms.
Can it export invoices to our accounting software?
Invoices, receipts and balances can be handed to your accountant as an export. A live link to one accounting package is extra work, priced before it begins.
Can we bring in our current jobs and what clients still owe?
Yes. Clients, running jobs and outstanding bills come from your register or spreadsheet, and the office compares the new records with the paper ones before crews are scheduled.
What does it cost?
No fixed price list exists. Users, crews and the amount of set-up decide the figure, which is written into a proposal after you have seen the system working.
Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
