Home services · Software for tree service companies

Keep each tree, work order, crew day and equipment hour on one job record.

Tree service software holds each job as a record of the trees involved, the work agreed, the crew and equipment sent and the permit or approval needed. Quotations are priced by tree and by task. Storm calls join the same list as planned work. Disposal, chipping and stump work are billed as part of the job. The client sees one invoice.

At a glance

A tree service company sells skilled labour, heavy equipment and judgement. Each job has its own risk, access and disposal plan, and the quote has to reflect all three. Nothing repeats exactly.

Most firms hold this in a quoting spreadsheet, a message group for crews and a folder of photographs. Tree service company software puts the tree, the job, the crew, the equipment and the invoice in one record, so the office and the climbers read the same page.

How the work runs today

An enquiry comes from a homeowner, a property manager, a council or a utility. It could be one oak or two hundred. An arborist visits, identifies the species, measures the height and spread, photographs the tree and its surroundings, and notes hazards such as power lines, fences, glasshouses and neighbours. The quotation lists each tree with its task: crown reduction, pruning, dismantling, removal, stump grinding or planting. Access, chipper and crane needs affect the price, and disposal of the arisings is itemised or included.

On the day, a crew leader takes a climber, a groundsman, a chipper and perhaps a crane or an aerial lift. Weather decides whether work goes ahead, and wind alone can cancel a day of climbing that was booked three weeks earlier. A storm brings emergency calls for fallen limbs and blocked roads that must be dispatched fast without breaking planned jobs. Equipment needs servicing. Inspection records matter too. Certificates and insurance details are requested by clients and by public bodies. They have to be found quickly. Nobody wants to search a shared drive while a customer waits on the line to confirm cover.

Where it breaks

What goes wrong for tree service companies without a proper system.

Each tree is priced from memory

Species, height, access and disposal all change the cost, and without a record of past jobs a quote depends on one estimator’s recall of a similar tree. A second estimator prices the same oak differently.

Storm calls disrupt the plan

Emergency calls arrive in bursts. Planned jobs are moved by phone. Clients waiting for a booked visit are not told until the crew fails to arrive on the day, and some then cancel.

Permits and approvals are tracked loosely

Some trees need approval from a local authority or an owner before work begins. The status of each request sits in an email thread. The crew finds out on site.

Equipment hours are not logged

Chippers, saws, cranes and trucks need servicing by hours used. Nobody can say which machine did which job. Maintenance falls due unseen.

Crew time and job cost are separate

Hours, fuel, disposal fees and subcontracted crane time sit with different people. True cost is unknown. It appears only when the books are closed, long after the next quote went out at the same price.

What the software does

What we would build for tree service companies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Tree survey and quote

Record each tree with its species, size, hazards, access route and photographs before any price is given, so a later reader sees what the estimator saw. Then price the task from your rates.

Permits and approvals

Log each approval request against the tree and the job, with the authority or owner, the date asked and the date answered. Work is not scheduled early.

Crew and equipment scheduling

Plan crews, climbers, vehicles and cranes by day. Clashes are visible. A storm call can be placed without losing the booked jobs, and the office sees which client to ring first.

Emergency call dispatch

Take calls for fallen trees and blocked access, set the priority, and send the nearest free crew with site details and photographs on their phone. Short notice is normal.

Equipment hours and servicing

Record hours and fuel by machine and job. Service and inspection reminders cover saws, chippers, ropes and vehicles, so no machine goes out overdue for a check that someone forgot.

Job costing and invoices

Compare crew hours, equipment, fuel, disposal fees and subcontract costs with the quote for the job. Then raise the invoice and track receipts.

Recurring and contract work

Hold annual pruning visits and framework contracts for councils or estates, with visit dates, tree lists and renewal reminders.

Common questions

Questions tree service companies ask before they call.

Can we quote several trees on one site?

Yes. Each tree gets its own line with the task, access notes and photographs, and the total is built from your rates. The client can accept some trees and decline others.

Can emergency calls be handled alongside planned jobs?

Yes. An emergency call is logged with a priority and sent to the nearest crew. The schedule shows which planned job slips as a result. The office can then call that client first, before the crew fails to arrive.

Do crews need a signal on site?

The crew leader opens the day’s tree jobs on a phone and ticks each one off once the debris is cleared. It runs online, so entries wait for signal where the site has none.

How are tax, currency and local rules handled?

Each country’s currency and tax rules apply to quotes and invoices. Permit types and certificate records follow the rules your regulator sets. Both are reviewed during implementation, with your accountant and your insurer.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
