One connected system for tree surveys, quotations, crews, equipment and invoices.

Handle tree service enquiries, surveys, quotations, permit requests, crew schedules, equipment hours, emergency calls and invoices in a single system. From first visit to final payment, a job holds its trees, photographs, crew and costs in one place. On a phone each crew leader reads the day’s own list, and the office reads the identical job record.

  • Rate list, task types and equipment keyed in as you price them
  • Client file, running jobs and owing invoices brought in
  • GullySystem staff update tree task and disposal rates when you ask

Tree Service Management Software is where arborists and tree companies keep enquiries, surveys, quotations, permit requests, crew schedules and invoices, configured by GullySystem. Each job carries its trees, photographs, crew, equipment hours and disposal costs. Crew leaders see their day on a phone. Emergency storm calls join the same schedule.

Where it breaks today

What goes wrong before the software.

Enquiries arrive through many channels

Calls, web forms and messages each bring a tree to price. With no single list, a survey is missed or two arborists turn up.

Quotes depend on one estimator

Species, height, access and disposal change the price. Past jobs are hard to find, so the same tree is priced differently by different people.

Approvals are tracked in email

Consent from an owner or a local authority arrives by email. The crew learns on site whether work may go ahead.

Schedules break when storms hit

Emergency calls take crews from planned jobs. The changes are made by phone, and clients are told late.

Machine hours are not recorded

Chippers, saws and trucks are serviced by use. Without hours per job, maintenance is missed and costs are not shared properly.

True job cost is learned late

Crew time, fuel, crane hire and disposal sit in separate places. The margin on a removal is clear only after the invoice has gone.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A homeowner or property manager calls, fills in a web form or sends a message. It is logged under the client and the site address, with the kind of tree work asked for.

  2. 2

    Survey and quotation

The arborist visits, records each tree with photographs and hazards, and builds a quotation from the rate list. The client accepts all, some or none.

  3. 3

    Permits and booking

Approvals are requested where needed. Once consent is in, the job is booked with a crew, equipment and a date.

  4. 4

    Work on site

The crew leader opens the job on a phone, records start and finish times, equipment used and any change to the plan, with photographs.

  5. 5

    Disposal and invoice

Loads taken away and brush chipped are logged, then the invoice follows the agreed price plus any variation the client approved. Receipts are posted against it.

  6. 6

    Follow-up

Recurring visits and replanting are scheduled, and clients on contract are reminded before the next visit.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and surveys

Record each enquiry with where it came from and the site address, book the survey, and file tree notes, measurements and photographs under the client.

Quotations by tree and task

Price each tree and task from your own rates for labour, equipment and disposal. Earlier versions of a tree quotation stay on file, and quotations awaiting an answer sit together in one list.

Permits and approvals

Record approval requests against the tree and the job, with status and dates, so work is not booked before consent arrives.

Jobs and crew scheduling

Plan crews, climbers, vehicles and cranes by day, see clashes at once, and move a booking without losing the rest of the week.

Emergency calls

Take storm and hazard calls, set a priority, and dispatch the nearest crew with the site details and photographs on their phone.

Equipment and servicing

Record hours and fuel by machine and job, with service and inspection reminders for saws, chippers, ropes, trucks and lifting gear.

Crew attendance and hours

Mark attendance for climbers and groundstaff, record hours per job and work out pay from daily, hourly or piece rates.

Job costing

Compare crew time, equipment, fuel, disposal fees and subcontracted crane hire with the quoted price for each job.

Invoices, receipts and dues

Raise tax invoices, log payments taken in cash, by card or by transfer, and read every client’s balance with the longest-owed invoice at the top.

Contracts and recurring visits

Hold annual pruning plans and framework contracts for estates, councils and utilities, with tree lists, visit dates and renewal reminders.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Each enquiry is logged with its source and address, the survey is booked, and tree records and photographs stay on the client record.

  • Estimate/Quotation Management

Every tree and task is priced from the firm’s labour, equipment and disposal rates, with each revision kept beside the open quotes.

  • Technician Scheduling

Climbers, groundstaff, vehicles and cranes are placed against the day’s jobs, so a clash shows before a date is promised to a client.

  • Ticket Management

A storm or hazard call becomes a numbered ticket with a priority, an owner and a promised time, and the nearest crew is sent.

  • Asset AMC Tracking

Saws, chippers, ropes and trucks carry their service calendar and inspection dates, so work due by hours or by date is flagged early.

  • Attendance & Time Tracking

Climbers and groundstaff are marked present, hours are recorded per job, and pay is worked out from the daily, hourly or piece rate.

  • Invoice Management

Tax invoices are raised from the agreed price and approved changes, and each client’s balance is shown with the oldest invoice first.

  • Contract Management

Annual pruning plans and framework contracts hold tree lists, visit dates and renewal dates, with a reminder before each one falls due.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

Watch jobs under way, quotations waiting, what each client owes, how machines are used and what each finished job earned.

For arborists and estimators

Record surveys, build quotations from the rate list and follow each one until it is won or lost.

For the office

Enter enquiries, ask for consents, plan crews, answer storm calls and send invoices.

For crew leaders

See the day’s jobs, record times, equipment and changes from a phone, and upload photographs of the finished work.

For equipment managers

Track hours, services and inspections for each machine, and see which job used it.

Reports

The numbers the owner asks for.

  • Tree quotations accepted, declined or awaiting an answer
  • Jobs by crew and status
  • Equipment hours and services due
  • Permit requests by status
  • Job cost against quoted price
  • Money owed per client, longest overdue first
  • Contract visits due this month
Good fit

Who this is built for.

  • Arborists who prune, reduce and remove trees for homes and businesses
  • Tree surgery firms with several climbing crews and a chipper fleet
  • Companies that clear trees near roads, rail and power lines
  • Firms with stump grinding and crane work
  • Contractors who hold annual pruning contracts with councils or estates
Honest answer

When it is not the right choice.

  • One climber with a ladder and a chainsaw, taking a few jobs a week, is served well enough by a phone and a paper diary.
  • Businesses whose main work is garden design or lawn care will find Landscaping Management System closer, and pest work will fit Pest Control Business Management System.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rate list and tasks

We begin with task types, species groups, equipment rates and disposal charges, copied from how you price now.

Job stages and approvals

Survey, approval, work and disposal become the stages of a job, along with any consent your area demands, in your own order.

Crew pay rules

Hourly, daily and piece-rate pay for climbers and groundstaff follow how you pay today.

Clients and balances migrated

The client file, jobs still running and invoices still owing are brought in from whatever you keep today.

Currency, tax and language

Quotes and tax invoices print in your own currency, in the layout your tax office expects. Clients read them in the language you pick.

Hosted by GullySystem

The system runs on GullySystem hosting, which gives the office and each crew leader one shared set of records. Changes to your tree task and disposal rate tables are made by GullySystem staff.

Common questions

Questions owners ask before a demo.

Can I quote several trees on one site?

Yes. Each tree has its own line with task, access notes and photographs. The client can accept some trees and decline others.

How are emergency storm calls handled?

A call is logged with a priority and sent to the nearest crew. The schedule shows which planned job moves, so the office can warn that client first.

Can it track permits and approvals?

Yes. Each request sits against the tree and the job with its status and dates. Which approvals apply in your area is worked out with you at the start.

Does it record equipment hours?

Yes. Hours and fuel are entered per machine and job. Service and inspection reminders follow the hours or dates you set.

Will crews be able to work from a phone?

Yes. A crew leader opens the day’s jobs, records times and equipment, and uploads photographs. It works online, and entries made out of signal wait until the phone reconnects.

Can it hold annual contracts for councils or estates?

Yes. A contract carries its tree list, visit dates and renewal date. Each visit is recorded against it and invoiced as agreed.

Can jobs in progress and money owed be brought across?

Yes. Client lists, running jobs and money owed load from your ledger book or spreadsheet. An estimator reads the imported entries against the paper job file before the first crew is dispatched.

Who owns the data?

You do. Before work begins, the quotation names the file format you receive for client lists, jobs and photographs if you ever take them elsewhere.

What does it cost?

No price is published. Price follows how many people sign in and what your workflow needs. You first see a demo using a sample tree quotation and crew schedule; a proposal in writing then gives the cost for your company.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
