One connected system for gutter quotations, installs, cleaning rounds, crews and invoices.

Handle gutter enquiries, measured runs, quotations, material, van stock, install crews, recurring cleans and invoices from a single system. A property keeps its runs, downpipes, history and balance due from the survey through every later return. Crews work from a phone, and reminders go out before a clean falls due.

  • Your gutter profiles, downpipe sizes, guard options and labour rates keyed in per run
  • Customer addresses, last-clean dates, half-built jobs and unsettled bills carried over
  • New profiles or guard lines added by GullySystem staff whenever you ask

Firms that fit guttering and clear it every autumn use Gutter Contractor Management Software, configured by GullySystem, for enquiries, quotations, installs and recurring cleans. Each property carries its measured runs, downpipes, hoppers and leaf guards, the crew days spent and the invoices raised. Cleaning visits are scheduled by area, with before and after photographs kept on the record.

Where it breaks today

What goes wrong before the software.

Measurements live on a clipboard

Eaves lengths, corner counts, stopend positions and outlet drops get scribbled on a clipboard up a ladder. The quote and the material list then carry two separate copies, and a half-round run is priced as ogee.

Recurring cleans depend on memory

A customer was cleaned last season. No reminder goes out, so the call arrives only when the gutter overflows, with moss and silt in the outlet and rainwater down the gable wall.

Rounds are planned by hand

Cleaning jobs are spread across several areas. Without one calendar, a crew drives past one customer on the way to another, and a bungalow near the depot waits a week.

Photographs are not tied to the job

Before and after images sit on a technician’s phone. When a client questions the work, or an agent asks for proof of a cleared blockage, the picture is hard to find.

Material is cut and used without a count

Lengths, corners, brackets, swan necks and guards come from the van or the yard. Nobody records which job took which stock, so a short van is found out on the roof.

Seasonal peaks overwhelm a diary

Autumn and storm weeks bring more calls than a paper diary can hold. Quotations for fascia and soffit work are sent late, and some enquiries are lost to the firm that rang back first.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry

A homeowner calls, fills in a web form or sends a message. It is logged with the customer, the address and whether the work is an install, a repair or a clean, and whether the house is terraced or detached.

  2. 2

    Visit and quotation

The estimator measures the eaves, counts corners and outlets, and photographs the damage from the ground or a tower. The quotation then takes its prices from your stored rate card.

  3. 3

    Order and van stock

Once the customer accepts, the quotation turns into a job. Material is taken from van or yard stock, or ordered from the supplier and checked on arrival, with any short delivery noted.

  4. 4

    Installation or clean

A crew is assigned with the job sheet and safety notes for work at height. The crew records work done, adds photographs and marks the job complete. Debris and silt removed are noted.

  5. 5

    Invoice

The completed job sheet becomes the invoice, taxed by your local rules. Payment taken on site or later is posted against it, and the deposit already paid is deducted. Nothing is retyped.

  6. 6

    Return visits

A cleaning cycle is saved for each property. Reminders go out before the next visit, and visits are grouped by area, so the vacuum crew works one street at a time. Nobody is forgotten.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and property visits

Note the lead source and the property address, book the survey, then file eaves measurements, outlet positions and photographs against that house. A porch or conservatory run is its own line.

Quotations by run and downpipe

Price by length from your own rates for each gutter type, downpipe, guard and labour, and keep every revision. Aluminium, PVC and galvanised lines are quoted apart, and a rise to the gradient is added.

Installation jobs and crews

Run each install as a job with its runs, material, crew and dates on one calendar, with safety notes for work at height. A MEWP hire or a tower erection is booked against the same job.

Material and van stock

Record sections, brackets, corners, hoppers, stopends, guards and fittings received, issued to a job and returned from a van, with reorder levels. Rivets and mastic count as stock too.

Supplier orders

Order lengths and accessories from suppliers, tick each delivery against the purchase order, and record anything that arrives short. A damaged bundle is returned on the same screen. Returns are logged.

Cleaning rounds and recurring visits

Hold each property’s cleaning cycle and price, group visits by area, and send reminders before the next one. A leaf guard property and a plain open gutter carry different prices and visit lengths.

Crew days and wages

Mark days for installers and cleaners by job, and work out wages, piece rates and advances from the entries. A cherry picker day is charged to the job that needed it. Wages follow the entries.

Photographs and job reports

Keep dated before and after images and the crew’s notes with each visit, and attach them to the invoice when a client asks. Sludge, blockage and overflow shots stay with the property.

Invoices, receipts and balances

Bill from the finished job sheet, record each payment, and read a customer’s balance starting with the oldest unpaid bill. Deposits on installs are shown on their own line. Statements print in one click.

Repair calls and warranty

Raise a ticket for each leak or damage report, link it to the original install, and record the repair and the material used. A dripping joint or sagging rafter bracket traces to its date.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Every gutter enquiry is logged with its source and address, the visit is booked, and run measurements and photographs stay with the property.

  • Estimate/Quotation Management

Quotations are priced by length from the firm’s rates for each gutter type, downpipe and guard, and every revision stays in the open list.

  • Work Order Management

An install is one job that gathers its runs, material, crew and dates, with safety notes for working at height attached.

  • Stock Tracking and Alerts

Sections, brackets and guards are counted by van and by yard, and an alert shows when a size falls below the level set for it.

  • Service Reminders

Each property’s cleaning cycle sets the date of its next visit, and a message goes out before that date so the customer can confirm.

  • Service Reports and Proof of Visit

The crew leaves a report for each visit with the work done and dated before and after photographs, ready to attach to the invoice.

  • Invoice Management

An invoice is raised from the completed job sheet with the tax settings for the country, and each receipt reduces the customer’s balance.

  • Ticket Management

A leak or damage report becomes a numbered ticket linked to the original install, with an owner, a visit date and the material used.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For owners

See visits scheduled, quotations open, cleans due, material cost against billing and dues by customer. Compare the autumn rush with last year’s, week by week. Margins show per job.

For estimators

Record measured runs, prepare quotations and follow each one until it is accepted or dropped. Revised quotes sit beside the first, with the gradient and outlet notes.

For the office

Schedule rounds, place orders, send reminders, raise invoices and post receipts. Answer a customer who asks when the last clean was, in one lookup. Nothing waits for the crew.

For crews

See the day’s properties on a phone, read the job notes, add photographs and mark each visit done. Safety notes for the ladder or tower appear first.

Reports

The numbers the owner asks for.

  • Quotations split into accepted, declined and still waiting
  • Crew visits grouped by area and status
  • Clean-outs falling due and reminders sent
  • Stock issued to every job
  • Billed against collected
  • Customer balances with the longest-waiting bill on top
  • Repair calls traced to install date
Good fit

Who this is built for.

  • Installers who put up and replace gutters and downpipes on houses
  • Cleaners who visit household and landlord gutters on a repeating cycle
  • Fitters of gutter guards and fascia boards
  • Roofing and siding firms that also take gutter work
  • Companies looking after gutters for property managers and housing groups
Honest answer

When it is not the right choice.

  • A single cleaner with a few dozen regulars may find a phone and a paper diary enough.
  • If your main trade is roofing, fencing or pressure washing, Roofing Contractor Management Software, Fencing Contractor Management Software or Home Cleaning Management System fits better.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your rate list and materials

We enter your gutter profiles, downpipe sizes, guards, brackets and labour rates first, priced per run as you quote now, so the first quotation matches the last paper one.

Cleaning cycles and areas

Each area gets its own clean frequency and crew day, copied from the rounds you already drive. Nothing is rerouted by the software. Areas stay as they are.

Job types and payment terms

Installs, repairs and cleans each follow your own deposit and final split, and a cleaning contract for a housing group carries its own terms.

Customers and balances migrated

Your customer register arrives with each property’s cleaning cycle, the jobs still open and any bill not yet paid. A clerk checks a few terraced streets against the paper book first.

Currency, tax and language

Prices print in your own currency with the sales tax your authority requires. Clean reminders go to the homeowner by email, SMS or chat, in the language you choose.

Hosted by GullySystem

Hosting stays with GullySystem, so a crew on a ladder and a clerk in the office open the same job record. Our staff update your gutter profiles, guard options and clean-out rates whenever you ask.

Common questions

Questions owners ask before a demo.

Is it for installs, cleans or both?

Both. An install runs as a job with measured runs and material. A clean is a short visit on a repeating cycle, and both appear on the same calendar, with the van and the crew shown.

Can recurring cleans be scheduled for each property?

Yes. A property carries its cleaning cycle, its price and its last visit. Reminders go out before the next one, and visits can be grouped by area, street by street.

Can crews attach before and after photographs?

Yes. A crew adds images from a phone to the visit. Each picture stays on that property’s record, whether it shows moss, silt, a blockage or the finished run. Print it or send it with the bill.

Does it plan driving routes?

It groups visits by the area you assign and shows the day’s list in order. It does not draw driving routes or track vehicles on a map.

Will quotes use our own prices per run?

Yes. Rates are entered once per gutter type, downpipe and guard, and each quotation picks from them. An older quotation stays on file beside the revised one, with the reason for the change.

Does it track material on the van?

Yes. Sections, brackets and fittings are issued to a van, used against a job and replaced from the yard. A stock take of the yard or van corrects the figures, and shortages are listed.

Can our existing customers and open jobs come across?

Yes. Customers, clean dates, half-finished jobs and outstanding bills come in from your customer book or spreadsheet. A clerk compares a handful of properties with the paper first.

Can it export invoices to our accounting software?

Your accountant can take a file of invoices, receipts and customer balances. Linking to one accounting package is a quoted extra, discussed in the first workshop.

What does it cost?

Pricing is not published, because it varies with the number of users and the set-up needed. Watch a demo first, then read the proposal. Nothing is assumed beforehand.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
