Measure, quote, order and bill each patio, wall and driveway job on one record.

Hardscaping is paving, retaining walls, patios, steps, driveways and outdoor structures built from stone, block, brick and aggregate. The hardscaping software prices each area from measured quantities, orders materials by the pallet and tonne, and tracks crews and stage bills. The record stays with the job from survey to final payment.

At a glance

A hardscaping job is priced by the square metre, the tonne and the day. Quantities are measured on site and materials arrive in bulk. Crews work in stages that depend on weather and ground, so small errors in takeoff become large errors in the final cost of a job. Check twice.

Job and materials tracking for hardscaping contractors puts the survey first. Measured areas, depths and edge details feed the quote, the order and the stage bills. Crews and plant are scheduled against the same record. Nothing is typed twice.

How the work runs today

An enquiry becomes a site survey. The estimator measures the area, notes the ground, drainage, access and levels, and photographs the site. The quote is built from areas and depths: excavation, sub-base, bedding layer, paving, edging, steps, retaining walls and drainage. Materials such as aggregate, sand, cement, block, flagstones and pavers are priced from supplier lists that change through the year, so a quote written in spring may not hold by autumn. Prices move.

Once a quote is accepted, materials are ordered and delivered, often in several drops. Crews arrive with plant for excavation, compaction and cutting. Weather moves the schedule, so a job can stop and restart several times. Customers are billed in stages, such as deposit, materials delivered, base complete and final handover, with each bill tied to a photographed milestone that the foreman signs off on site. Variations, such as extra depth or a change of paver, need to be priced and approved as they arise. Rain is the usual cause.

Where it breaks

What goes wrong for hardscaping contractors without a proper system.

Takeoff and quote use different figures

Measurements are noted on site and typed into a quote later. Areas and depths drift, and the material order follows the wrong numbers.

Bulk materials are hard to reconcile

Tonnes of aggregate and pallets of paver arrive in drops from several suppliers. Delivery notes are not matched to what was quoted or used.

Weather breaks the schedule

A wet week pushes every job back. Crews, plant and deliveries are rebooked by phone, and customers hear about changes late.

Variations are agreed verbally

Extra excavation or a different edging is agreed on site and never priced in writing. The cost appears when the final bill is argued.

Stage bills lag behind the work

A base is finished on Tuesday, but the stage invoice goes out weeks later. Cash is tied up in work already done.

What the software does

What we would build for hardscaping contractors.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Site survey and measurements

Record areas, depths, levels and access for each job with photographs, and carry those figures into the quote and the order.

Quotations by area and material

Build quotes from measured areas, depths and your own rates for labour, plant and materials, and keep every revision.

Materials orders and deliveries

Order aggregate, block, pavers and stone from suppliers for each job, tick off every delivery against its order, and see how much is still waiting to be laid.

Crew and plant scheduling

Plan crews, excavators, compactors and cutting equipment by job and day, and rebook quickly when the weather moves the programme.

Variations and approvals

Price each change on the job, send it to the customer for approval and add it to the stage bills once it is accepted.

Stage billing and retentions

Raise deposit, stage and final invoices from work recorded, track receipts, and hold the retentions that apply to commercial customers.

Handover and aftercare

Record the final inspection, snags and customer sign-off, then schedule aftercare visits such as sanding joints or sealing.

Common questions

Questions hardscaping contractors ask before they call.

Does it handle quotes by square metre and by tonne?

Yes. Rates are entered per unit for labour, plant and each material, and the quote multiplies them by the measured quantities. Units and currency are set during implementation.

Can we track several deliveries for one job?

Yes. Each order can receive many deliveries. Quantities received are compared with the quote, so over- or under-supply shows before the job is closed.

Can customers approve variations online?

Yes. A variation is priced on the job and sent by email or message for approval. The accepted figure is added to the next stage bill.

Is it suited to garden design firms as well?

Partly. Hardscape builds and stage billing are covered. Firms that also plant, mow and maintain gardens will find Landscaping Management System closer for that side.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
