Keep every loss, moisture reading and scope approval on one job record.

Restoration contractors dry out, clean and rebuild properties after water, fire, smoke, mould and storm damage. The software holds each loss as one job: the first call, the moisture readings, the photographs, the scope agreed with the owner or insurer, the equipment on site and the invoices. Everyone from the dispatcher to the invoice clerk works from one file.

At a glance

A restoration job begins with an emergency call and ends with a rebuilt room, often weeks later. Between those two points come drying logs, equipment placed and collected, claim photographs, changes of scope and several people who each hold a piece of the story. A loss that is not documented on day one is hard to bill on day thirty.

Job software for restoration firms keeps that story in one place. Call handlers open the loss. Technicians record readings and equipment. Estimators write the scope, and project managers run the rebuild. Accounts invoice the owner, the insurer or a managing agent from the same file.

How the work runs today

Calls arrive at any hour from property owners, insurers, loss adjusters, property managers and plumbers who found the leak. The dispatcher notes the address, what kind of loss it is and who is paying, and an emergency crew goes out. On arrival the team photographs every room, takes moisture readings, extracts standing water, removes wet material and places drying equipment such as air movers and dehumidifiers. Each unit is logged to the room it sits in. Nothing is placed by memory.

Technicians return daily to read moisture and temperature until the structure is dry, and each visit is a record the insurer may ask for. An estimator writes the scope of repair, often in a format the adjuster also uses, and revisions follow as hidden damage appears. Once drying is signed off, rebuild trades start: drywall, flooring, paint, joinery and electrical, some of them subcontracted. Where an insurer is involved, the scope, photographs, drying log and approved extras travel together in one claim file that the estimator can send to the adjuster at once. Some jobs run for months. Others close in a week. Invoices go out by phase or by agreed milestone, and the file closes when payment and a completion certificate are in.

Where it breaks

What goes wrong for restoration contractors without a proper system.

Drying records are scattered

Moisture readings sit on paper sheets, in phone notes and in a drying app. When an insurer asks for the log, someone rebuilds it from three places. It takes an afternoon.

Equipment stays on site too long

Air movers, dehumidifiers and scrubbers are placed in rooms and collected days later. Without a log by unit and room, rental days are a guess and units go missing.

Scope changes lack an approval

Hidden damage adds work after the first estimate. If the owner or insurer has not agreed the extra in writing, the invoice is challenged.

Photographs do not stay with the job

Images of the loss are taken on personal phones. A claim file needs them sorted by room and date, and that work lands on the office. It is slow.

Several parties pay for one job

An owner pays a deductible, an insurer pays the rest and a managing agent pays for common areas. One loss carries several invoices, and the balance is unclear. Nobody is sure who owes what.

What the software does

What we would build for restoration contractors.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Loss intake and dispatch

Record each emergency call with the address, the type of loss, the payer and the claim number, then send a crew from the roster.

Moisture and drying logs

Note readings, temperatures and equipment by room and visit, so the drying record an insurer asks for exists as the work happens.

Equipment tracking

Log each air mover, dehumidifier and scrubber to a job and room, with the placed and collected dates that rental days are charged from.

Scopes, estimates and approvals

Build the scope of repair from your price list, keep each revision, and record who approved an extra before the work starts.

Photographs and job documents

Attach photographs by room and date, together with work authorisations, adjuster emails and completion certificates.

Rebuild phases and subcontractors

Plan drywall, flooring, paint and electrical trades after drying sign-off, and send purchase orders to the subcontractors who do them.

Invoicing by payer

Invoice the owner, the insurer or the managing agent for their share of one job, with deposits and balances tracked.

Common questions

Questions restoration contractors ask before they call.

Can the drying log be shared with an insurer?

Yes. Readings, equipment days and photographs are listed by room and date and can be exported as a report. Each insurer’s own policy decides what counts as proof, so we check its requirements with you when configuring.

Does it work with the estimating tool we already use?

Estimates can be built in the software from your own price list. Connecting a separate estimating package depends on what that package can export, so we look at it with you before promising anything.

Can technicians record readings on a phone?

Yes. A technician opens the assigned job, enters readings and equipment moves, and attaches photographs. Entry needs signal, so a basement visit may be keyed later.

Does a restoration firm with only one crew need it?

Often, once two or more crews run jobs at the same time. A single operator with a few losses a month may find a shared folder and an invoice template enough.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
