Donor Records for NGOs and Charitable Trusts
This module holds one record for every donor a trust deals with, from a monthly giver to a company funding a single programme. Fundraising staff open it daily.
What a donor record holds
One screen carries everything the office needs before it rings a giver or raises a receipt.
Who works on donor records
How it feeds the receipt screen
A donor record is where a donation entry begins. The entry screen finds the giver by phone number or name, and the receipt then carries the fund head the giver stated. The same records build appeal response lists and the lapsed giver list that fundraisers call from each month. Pledges yet to arrive sit there too.
What the trust decides
Tax treatment is settled elsewhere. Whether a giver is eligible for any benefit, and what wording a receipt carries, rests with the board and the auditor.
- Which donor fields must be filled before a receipt can be raised
- Whether company and individual givers sit in one list or two
- Who may change a donor’s contact details and who may only read them
- How two records for the same giver are merged, and by whom
Frequently asked questions
Can a donor be found by phone number alone?
Yes. Search works on the phone number, the name or the receipt number, which is how most office staff look a giver up.
Will an anonymous donation still need a donor record?
No. Money can be entered against a general anonymous entry, and the trust decides what detail is kept in that case.
Does the module send appeal messages?
Not from here. Donor records hold the numbers, and the appeals module is where a drive and its messages are set up.
Can old receipt books be loaded as giving history?
Where the entries exist in a sheet, yes. Loose counterfoils have to be typed, and the proposal covers that typing as a line of its own.
