GullySystem
Non-profit · Software for nGOs and trusts

Every donor asks for a receipt and a report, and we build both by hand.

NGOs and trusts run on individual donations, CSR grants and, for some, foreign contributions, each with its own receipts, fund tracking and reports. GullySystem builds a system that records every donation against the right fund, issues receipts, tracks field activity and prepares donor reports. The free technology audit is where we begin, with no obligation.

At a glance

Your team would rather spend time in the field than in spreadsheets. Donors, though, want receipts on time and reports that show where their money went.

We build software that keeps donations, funds and programme results connected, so reporting stops being a month of work.

How the work runs today

Donations arrive by UPI, bank transfer, cheque and online campaigns. Someone matches each one to a donor, issues a receipt with the 80G details where applicable, and records it in Tally.

CSR grants come with a budget, milestones and a utilisation report, and trusts receiving foreign contributions keep those funds in a separate account. In the field, coordinators record beneficiaries, camp attendance and distributions in registers and phone photos.

At report time, the office collects all of it, matches spending to each grant’s budget, and writes a report with numbers and stories. Annual donor statements and returns add another rush.

Where it breaks

What goes wrong for nGOs and trusts without a proper system.

Receipts go out late

Donations are matched to donors by hand from bank statements, so receipts follow weeks later.

Funds get mixed up

A CSR grant, general donations and foreign contributions are hard to separate when spending is recorded in one sheet.

Field data is incomplete

Beneficiary lists come from different coordinators in different formats, with duplicates.

Donor reports take weeks

Every report means collecting numbers, photos and spending from scratch.

What the software does

What we would build for nGOs and trusts.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Donor and donation register

Every donor with contact details, PAN where given, donations and the fund each is for.

Receipts and donor statements

Receipts with the details you specify, sent by email or WhatsApp, and annual statements per donor.

Fund and grant tracking

Each grant’s budget, spending and balance, with foreign contribution funds recorded separately.

Beneficiary and activity records

Coordinators record beneficiaries, sessions and distributions on a phone, with photos.

Donor report builder

Spending against budget and activity numbers for a grant, assembled into a report draft.

How it works

How the work runs from Bengaluru for your city.

  1. 01

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 02

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 03

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 04

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 05

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions nGOs and trusts ask before they call.

Our accounts are in Tally. Will that change?

No. Donations and expenses can post to Tally by fund, so your auditor keeps working the way they do now.

Does the software make us FCRA compliant?

No. Compliance is your trust’s responsibility with your auditor. The software keeps foreign contribution receipts and spending recorded separately, which makes the required records easier to produce.

Is custom software too expensive for a small NGO?

It can be. Free and low-cost donor tools work well for small organisations, and we will say so in the audit if that fits you better.

Can donors give online?

Yes. A donation page with UPI and card payments can issue the receipt automatically.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
