Keep every member, subscription, event and committee decision on one record the whole body can trust.

Trade associations, chambers, professional bodies, alumni groups, residents’ associations, trusts and clubs all run on members who pay dues and expect services. The software holds membership, collections, events and reports together, and although committees change every year the record stays complete and in order.

At a glance

A membership body exists for its members. It collects a subscription, offers something in return and answers to a committee or board that is elected from among the members themselves. That holds whether the members are manufacturers, accountants, graduates, households in a housing society or families at a country club.

The records are alike. A member register holds names, categories and contact details, a dues ledger shows what was billed and received, and an events calendar holds registrations and attendance. Minutes and resolutions sit with the secretary. Trade associations and chambers add directories and certificates, professional bodies add records of learning credits, and residents’ associations add maintenance bills and complaints.

Most of these bodies run with few paid staff and rotating office-bearers, so the work of the office falls on volunteers with other jobs. A treasurer changes every year. Spreadsheets pass from hand to hand, so what the body needs is a register and a ledger that survive each change of committee without losing a single receipt.

The trades

Software for each kind of associations and membership organisations business.

Trade associations

A trade association speaks for the firms in one sector. The software holds member firms and their contacts, dues by class, committee seats, events, training and published position papers. The secretariat answers a member’s question from one record, whether it concerns an invoice, a committee seat or a conference place.

Chambers of commerce

Chambers of commerce keep member firms in a spreadsheet, dues in the accounts file and event bookings in a mailbox. The software holds the firm, its contacts, its tier, its dues, its certificates and its events on one member record. Renewal and arrears lists come from that record.

Manufacturing associations

A manufacturing association speaks for factories, so it needs to know each plant, its products and its sector group. The association software holds the member register, subscriptions, committees, circulars, plant visits and trade-fair stalls. One record per company serves everyone.

Professional bodies

Professional bodies track applicants, grades, annual subscriptions and continuing professional development (CPD) hours across separate files. The professional body product keeps one record per member, with grade, CPD hours, exam results, branch and standing. The public register and renewal lists are read from that record.

Alumni associations

An alumni association serves graduates who left on different dates and now live in many cities. The software files each person under a batch and programme, tracks dues and gifts, and runs chapters, reunions and scholarship awards from the same list.

Resident welfare associations

A resident welfare association collects maintenance charges from every home, pays for guards, lifts and water, and answers to residents at each general meeting. The software ties dues, complaints, vendor contracts, staff rosters, meeting minutes and notices to one unit register that stays with the association when volunteers change.

NGOs and trusts

NGOs and trusts run on individual giving, CSR grants and, for some, foreign contributions, each with its own receipts, fund head and reporting. We record every donation against the right head, issue a numbered receipt, keep field activity beside the money, and assemble the utilisation report from both. Corpus, restricted and foreign-contribution funds stay apart.

Country clubs

A country club sells a membership and then bills for everything that member does inside the gates. The country club software keeps member accounts, dues, facility bookings, dining charges and events together. Guest passes and family linking are handled on the same record. The board’s reports come from those same entries.

What they share

Where these businesses lose time and money.

The member list is never quite current

Addresses, categories and contacts change, and the register is updated in a few places and not others. Mailings go to the wrong person.

Dues are chased by memory

Subscriptions, maintenance charges and annual fees are tracked in a ledger that only one person understands. Arrears surface at the annual meeting.

Events depend on scattered sign-ups

Registrations arrive by form, message and cash. Attendance, payments and guest lists have to be matched afterwards.

Office-bearers change and records go missing

Minutes, resolutions and receipts move with the person who held them. The next committee starts without a history.

Funds must be shown to be used as intended

Donations, grants and restricted money need a separate trail. Auditors and donors ask for it in a set format.

What the software does

What we build across associations and membership organisations.

One register of members

Hold each member, firm, graduate, household or family with category, history and contacts. Updates apply everywhere the record is used.

Dues, receipts and reminders

Raise subscriptions or maintenance bills by category, issue numbered receipts and send reminders by message or email. The treasurer sees arrears at any time.

Events, registrations and attendance

Open registration, take payment, issue passes and record who attended. Reports show turnout and income for each event.

Committees, meetings and resolutions

Keep agendas, minutes, decisions and action points with the committee that made them. A new secretary inherits the full trail.

Directories, certificates and credentials

Publish a member directory and issue certificates, membership cards or learning-credit records. Members update their own details through a login.

Fund tracking and reports for the board

Separate general, restricted and endowment funds, then produce utilisation statements and board packs from the same entries.

Common questions

Questions associations and membership organisations businesses ask.

Does a single product serve all membership bodies?

No. Separate products exist for trade associations, professional bodies and residents’ welfare groups. Charities, trusts and clubs are written individually, shaped by their own funds, bylaws, and the halls or grounds each one has to look after.

Can members log in to pay and update details?

Yes. A member portal can show dues, receipts, events and the member’s own profile, and let each person correct an address without writing to the office. The scope is agreed with the committee.

Can we start from our current spreadsheets?

Yes. Member lists and dues ledgers are loaded after a review of the columns, with duplicates and gaps flagged for the secretary to resolve.

What happens when office-bearers change?

Each office-bearer sees screens matching the post held, so an incoming treasurer or secretary gets exactly what that job needs. Earlier entries, minutes and receipts stay on the record.
