Hold member grades, CPD logs, exam entries, subscriptions and the public register together.

Professional bodies track applicants, grades, annual subscriptions and continuing professional development (CPD) hours across separate files. The professional body product keeps one record per member, with grade, CPD hours, exam results, branch and standing. The public register and renewal lists are read from that record.

At a glance

A professional body sets entry routes for a profession and keeps the list of people entitled to use its title. Members apply for a grade, sit assessments, log continuing professional development (CPD) and pay a yearly subscription. It also runs branches, conferences and a journal.

Many bodies hold applications in email, exam results in a spreadsheet and subscriptions in the accounts package. Asking who is in good standing this year takes a day of cross-checking.

How the work runs today

The membership team receives an application with certificates, referee letters and a record of experience. An assessor reads the file and recommends a grade, and a committee confirms it at its next sitting. The applicant then receives a member number and a first invoice.

Each year members declare their CPD hours with evidence, and a sample is audited. The exams team opens a sitting, takes entries, books venues and invigilators, and releases results after the board has met. A failed candidate wants the next resit.

Branch secretaries hold local talks and need an accurate list of members nearby. Finance chases unpaid dues. The registrar keeps the public register and handles a rare complaint, which is held in a private file with its own access rules.

Where it breaks

What goes wrong for professional bodies without a proper system.

Grade decisions are not traceable

An applicant’s grade was agreed at a committee, but the minute, the assessor’s notes and the referee letters are filed in three different folders, so years later nobody can reconstruct the reason.

CPD declarations arrive as scattered attachments

Members send hours and certificates by email in different layouts, and auditing a sample means opening hundreds of attachments one at a time while the deadline passes.

Exam entries and results sit apart from the member file

A candidate’s sitting, marks and resit are in an exams sheet. The member record shows only the final grade, with no history.

The public register drifts from the membership list

A member resigns or is suspended, and the website list is updated weeks later. The register then shows someone who should not be on it.

Complaints are mixed with ordinary correspondence

A conduct matter lands in a shared inbox. Too many staff can read it. Without a restricted file the panel’s timeline is easy to miss, and nobody can show who opened the correspondence.

What the software does

What we would build for professional bodies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Application and grade assessment

Collect applications with qualification evidence and referee letters, route each file to an assessor, and record the grade the committee confirmed.

Member record by grade

Hold each member’s number, grade history, branch, special interest groups and standing from student through to fellow.

CPD log and annual declaration

Take hours declared against the body’s categories, store evidence, and mark the sample chosen for audit with its outcome.

Exam entries and results

Open a sitting, take entries and fees, assign candidates to venues, and enter marks and board decisions for release.

Subscriptions and reinstatement

Invoice yearly dues by grade, record payments, and move unpaid members through reminder, lapse and reinstatement.

Public register of members

Publish the list of members in good standing, drawn from the record, with removals made on the same day a status changes.

Branches, conferences and journal

Hold branch rosters and events, sell conference places, and keep subscriber lists for the journal.

Common questions

Questions professional bodies ask before they call.

Can we keep our own grade structure?

Yes. Student, associate, member, fellow or any other ladder is entered as your charter sets it, along with the entry route and the evidence each grade needs. Titles are reviewed with your registrar.

Does the system decide who may use the professional title?

No. Your assessors and committees decide that. The system records their decision, the date and the file behind it, then updates the register from it.

Can complaints be kept away from general staff?

Yes. A conduct file is held with its own permissions, so only named people see it. How the case is run follows your own rules, which your staff define.

How do we bring our existing member list across?

The spreadsheet or membership package export is mapped to the new record. The registrar then checks grades and standing before subscription notices go out. The check is done by your own team.

How is a membership body’s system quoted?

Members to carry over, the grade structure, branches and staff using the record, and whether exams and a public register are included all count. Your current member list is examined first, and each module is then given its own figure.

What should a professional body prepare first?

Gather the member list, grade assessment papers, a CPD declaration, exam entries and results, a subscription ledger and the public register as published. A membership officer and an examinations officer then go through the screens.

Do member records stay with the body if it stops using the system?

They do, with the code. Member, grade, exam and subscription records leave in plain files at the body’s request. The same engineers keep supporting it, and GullySystem hosts, with another host possible.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
