Community · Software for alumni associations

Keep every batch, dues payment and reunion registration on one alumni record.

An alumni association serves graduates who left on different dates and now live in many cities. The software files each person under a batch and programme, tracks dues and gifts, and runs chapters, reunions and scholarship awards from the same list.

At a glance

Alumni work starts with a list that is always out of date. Graduates change email, employer and city every few years, while batch representatives keep their own sheets and the association office keeps another copy that nobody trusts. Which one is right?

Alumni association software holds one record per graduate with the batch, programme and chapter attached. Dues, gifts, event registrations and mentoring offers hang from that record. A committee member reads the full history before calling a classmate to ask for help with a scholarship appeal.

How the work runs today

The office team keeps the directory current. It also sends the annual dues notice to each batch. Life members and annual members sit in separate lists with different renewal dates. Chapter secretaries in other cities collect local dues and forward a statement of what they hold. The treasurer reconciles each one against the bank deposits before the committee approves a scholarship grant.

Reunions are the busiest weeks. A batch representative asks for a venue, a headcount and a contribution per head. Registrations arrive by form, email and messaging groups, with guests, dietary needs and sponsorship offers mixed in. The office must turn all of it into one attendee list before the caterer wants a number. Afterwards it files the attendance. Mentors are matched to students.

Where it breaks

What goes wrong for alumni associations without a proper system.

The directory exists in many copies

Batch representatives hold their own sheets of names and numbers, and the office holds another. A graduate who updates one copy stays out of date in the rest. Nobody knows which sheet to trust.

Life and annual dues are mixed together

Life members never renew, annual members lapse each year, and a few graduates have paid for a batch gift without joining at all. One ledger line cannot show which is which.

Chapter money is held far away

A chapter secretary collects dues and event fees in another city, and the head office learns the figure only when a statement arrives. The treasurer reconciles late.

Reunion registrations come from every channel

Forms, emails and messaging groups all carry a name and a headcount, guests are added by the graduate, and the final list is typed again on the day. Mistakes follow.

Donor gifts lose their intended fund

A donor writes that the money was for a named scholarship. The receipt shows only an amount. When the award is decided, the wish cannot be confirmed.

What the software does

What we would build for alumni associations.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Graduate directory and batches

Keep one record per graduate with programme, batch year, department, employer and city. Old contact details are retained when a new address replaces them.

Life and annual membership

Set membership classes with their own fee and renewal date. Lapsed members surface in a list the office can work through before the next general meeting.

Gifts and named funds

Receipt each gift against a fund such as a scholarship, a library appeal or a hall renovation. The donor’s stated wish stays attached to the receipt.

Reunion registration

Open a page for each reunion where a graduate registers, adds guests and pays a contribution. Headcount, dietary needs and sponsorship offers feed one attendee list.

Chapters and batch representatives

Group graduates by city chapter and by batch. Each secretary sees only the members assigned, and the office reads every chapter’s dues in one place.

Mentoring and career board

Record mentors with the field they offer, match them to students or recent graduates, and post jobs that alumni share for others to apply to.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions alumni associations ask before they call.

Can we bring in the old batch sheets?

Yes. Representatives’ sheets and the office list are loaded together and checked for the same graduate appearing twice. Your staff review the matches before the directory goes live.

Do graduates log in themselves?

Yes, when the committee wants self-service. A graduate can update an address, pay dues and register for a reunion, while the committee decides with you which fields a graduate may change.

Can a chapter collect its own money?

Yes. A chapter secretary records dues and event fees against the chapter, and the treasurer reads each statement beside the bank deposit it matches.

Is this for an association run by volunteers?

Often it is. A small committee can run the directory, dues and reunions from a phone browser. Training is set to the time volunteers have.

How is the price for an alumni platform worked out?

Size of the graduate list, number of chapters and committee members using it, and the pieces you switch on all push the figure. Moving old batch sheets in adds effort. Your own records appear on screen first, and after that a written quotation lists each module separately so a part can be removed to see the change.

What must a committee prepare before we begin?

Gather every batch sheet you hold, the current dues ledger, gift receipts with fund names, and last year’s reunion registration list. Chapter heads should send how they collect money. Appoint a member to settle doubts on the directory and another for finance.

Do our records remain ours if volunteers change?

Yes. Membership, gifts and batch lists are your data, and the code is yours as well. Plain-file export is possible whenever you like. Support continues from the builders, and GullySystem hosts by default, though another arrangement can be asked for if the committee would rather keep it elsewhere.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.

What happens after you share your requirements

  1. A senior engineer reads your answers. Nobody phones first.
  2. Within one business day you get a written note: what we understood, what we would start with, and the questions we still have.
  3. If it fits, a proposal follows with the order of work, what we need from you and what you receive at each step.
  4. No call is booked and nothing is paid until you have read the note. Your details stay with us.
