GullySystem
Non-profit · Church Management Software

One system for members, giving, groups, events and volunteers.

Manage the member directory, visitor follow-up, attendance, children’s check-in, giving by fund, small groups, volunteer rotas, events and room bookings in one system. Each household carries its contacts, its gifts and its involvement from first visit onwards. Staff, leaders and the treasurer work from the same list.

  • Funds, groups, service times and roles entered the way your church is organised
  • Member lists and giving history migrated and checked by your staff
  • Edits to funds and roles handled by GullySystem staff when asked

GullySystem configures Church Management Software to hold the member directory, visitor follow-up, attendance, giving, groups, volunteer rotas and events. Each household holds its contacts, gifts and involvement. Staff, group leaders and the treasurer read one list, and pastoral notes stay limited to the people allowed to see them.

Where it breaks today

What goes wrong before the software.

Member records are split

The office, small groups and choir each keep a list. Addresses and phone numbers differ between them.

Visitors are not followed up

Welcome cards are filled in and then sit in a box. A newcomer is called only when someone remembers.

Giving is recorded in several formats

Cash, cheques, transfers and online gifts arrive differently. Funds with restrictions are hard to keep apart.

Volunteer rotas are chased by chat

A leader asks for names in a group, waits for answers and swaps by hand. Gaps show up on the day.

Children’s check-in is on paper

Allergy notes and the people allowed to collect each child are kept on forms. Staff search them at the door.

Year-end statements take weeks

The treasurer builds each donor’s statement from several sources. Corrections are made after they go out.

How it runs

How the work flows through it, step by step.

  1. 1

    Welcome

A visitor or new family is recorded at the door or online, and a follow-up is assigned to a team member.

  2. 2

    Membership

Households and members are added with contact details and milestones. Membership status changes as people join, move or leave.

  3. 3

    Attendance and groups

Services, classes and groups take attendance, and leaders see who has stopped coming.

  4. 4

    Giving

Gifts are entered or imported by method and fund, counted by two people and receipted.

  5. 5

    Serving

Volunteers are rostered by team and date, confirm or swap by message, and leaders see open slots.

  6. 6

    Reporting

The treasurer issues statements and fund reports. Pastors and the board read attendance and growth.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Member and household directory

Hold households, members, contacts, roles and milestones on one record, with a note field visible only to those allowed.

Visitors and follow-up

Record first-time visitors and assign a call, visit or invitation, with the outcome noted.

Attendance

Count attendance by service, class and group, and list people who have not been seen for a while.

Children’s check-in

Check children into classes with allergy notes and authorised collectors, and print a label for pick-up.

Giving and funds

Record gifts by method and fund, issue receipts and report restricted funds separately.

Pledges and campaigns

Set pledge amounts for a campaign, record payments against them and see progress toward the target.

Groups and ministries

Keep rolls, leaders, meeting dates and notes for small groups, youth, choirs and outreach teams.

Volunteer rotas

Build rotas by team and date, let volunteers confirm or swap, and show leaders the gaps.

Events and registrations

Plan services, classes and special events, take registrations and record who attended.

Room and resource booking

Book halls, classrooms and equipment against events without clashes.

Messages and notices

The directory feeds a notice to the whole congregation, a single group or one rota team, sent as email, text message or chat.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Contact & Account Management

Households and the people in them are separate records, so a family shares an address while each member keeps their own role and milestones.

  • Lead Management

First-time visitors are logged and assigned to a welcome team member, who records whether the call or visit took place.

  • Receipts Management

Each gift is receipted whether it arrives as cash, cheque, transfer or card, and posted against the member and the fund.

  • Task Management

Rota slots are tasks with an owner and a date, so leaders see which roles are confirmed and which are still empty.

  • Resource and Room Booking

Halls, classrooms and equipment are booked against events, and the calendar refuses a second booking at the same hour.

  • WhatsApp, SMS and Email Notifications

A notice goes to everyone, a group or a team by email or messaging, using contact details already held in the directory.

  • Online Booking Portal

Members register for a conference, class or outing on a public page, and the sign-up list appears on the event record.

  • Roles and Permissions

Pastors, the office, treasurer and leaders each open only the records their role needs, and pastoral notes stay restricted.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For pastors and leaders

See attendance, follow-ups, pastoral notes and growth, with access limited to what the role needs.

For the church office

Maintain the directory, book rooms, send notices and handle member queries.

For the treasurer

Record and reconcile gifts, run fund reports and issue donor statements.

For group and ministry leaders

Keep rolls, send messages to a group and manage rotas for a team.

For members and volunteers

Update details, confirm a rota slot and register for events from a phone.

Reports

The numbers the owner asks for.

  • Attendance by service and group
  • Visitors followed up and outcomes
  • Giving by fund, method and month
  • Pledges against campaign targets
  • Rota coverage by team and date
  • People not seen for several weeks
  • Event registrations and attendance
Good fit

Who this is built for.

  • Single-site churches with a small paid staff and many volunteers
  • Multi-site congregations that share one directory
  • Churches that run children’s and youth programmes
  • Parishes and fellowships that keep several funds and campaigns
  • Church plants and ministries moving from spreadsheets to one system
Honest answer

When it is not the right choice.

  • A very small gathering with a handful of regular members can manage with a contact list and a notebook.
  • Temples and non-profit trusts that run on donations and rituals will find Temple Management Software or NGO and Trust Management Software closer.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Funds and giving categories

General, building, mission and other funds follow the headings your treasurer reports under.

Services, groups and teams

Service times, classes, small groups and volunteer teams are set up with your staff.

Pastoral privacy

Roles decide who may read pastoral notes. Before the build is finished, we test its consent wording and retention periods against the law where you operate.

Members and giving migrated

Household lists and past gifts are brought in from your files and read over by church office staff.

Statements and receipts

Donor statement formats follow the rules in your country, which are reviewed with your treasurer.

Hosted by GullySystem

The directory, giving ledger and rotas sit on GullySystem servers, so staff, leaders and treasurer see one list. Edits come from GullySystem staff.

Common questions

Questions owners ask before a demo.

Can we accept gifts online?

Yes, through a payment provider you choose. Gifts are posted to the member and the fund, and the provider’s own fees and rules apply.

Does it track giving by fund?

Yes. Each gift is assigned to a fund, so restricted gifts for a building or mission can be reported alone.

Can children be checked in safely?

Yes. Check-in lists allergies and authorised collectors for each child, and a label is printed to match parent and child at pick-up.

Who can see pastoral notes?

Only people you give that permission. Roles are set during implementation, so a volunteer sees a roll but not a counselling note.

Can volunteers swap rota slots?

Yes. A volunteer confirms or asks for a swap by message, and the leader sees the change on the rota.

Can several campuses share one system?

Yes. Each campus keeps its own services and rotas, while one directory and shared reports can be read across all of them.

Can we import our member spreadsheet?

Yes. Your spreadsheet of households, members and past gifts is imported, and church staff read it over before regular use.

Who owns the data?

You do. The quotation spells out, before work starts, how you can take your membership and giving records away.

What does it cost?

No price is published; it depends on congregation size, users and modules. You see a demo first, then receive a quote in writing.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
