Non-profit · Software for churches

Keep members, giving, groups, events and volunteers together for the whole congregation.

A church is a membership, a calendar and a budget run mostly by volunteers and a small staff. Members join, give, serve and move on. The church management software holds the member directory, giving records, groups, events, volunteer rotas and pastoral notes together, so the office, the leaders and the treasurer read from the same list.

At a glance

A congregation grows through small steps. A first visit leads to a welcome call, then a small group, then a volunteer role. Usually every step sits in its own notebook, sheet or chat group, held by a different volunteer.

Software for churches puts those steps on one member record. Staff can see who has joined, who has stopped attending and who gave to which fund. Pastoral notes stay private, visible only to the roles that need them.

How the work runs today

On Sunday the welcome team records visitors and new families, children are checked into their classes and attendance is counted for each service. Offerings are collected by cash, cheque, card and online, then counted by two people and entered against funds such as general, building and mission. During the week the office answers queries, books rooms and sends notices.

Group leaders keep rolls for small groups, youth and choirs. Volunteers are rostered for music, hospitality and the children’s ministry. Pastors note visits and prayer requests, and the office reminds them of anniversaries, hospital stays and new families who have not yet been called by anyone. At year end, the treasurer issues giving statements to donors where local rules allow them, and prepares fund reports and a summary of attendance and growth for the board.

Where it breaks

What goes wrong for churches without a proper system.

Member lists exist in many places

The office has one list, the small groups have another and the choir keeps a third. Addresses and phone numbers drift apart.

Giving is hard to match to people and funds

Envelopes, transfers and online gifts arrive in different formats. Restricted funds need to be kept apart from general giving.

Volunteer rotas are arranged by chat

A leader asks for names in a group chat and chases replies. Gaps are found the morning of the service.

Children’s ministry needs safe check-in

Parents’ details, allergies and who may collect each child are held on paper. Staff have to check them quickly at the door.

Pastoral follow-up depends on memory

A new visitor, a bereaved family or a hospital visit is noted by one person. If that person is away, nobody follows up.

What the software does

What we would build for churches.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Member and family directory

Hold households, members, contact details, milestones and membership status on one record, with notes visible only to those who need them.

Visitors and follow-up

Record first-time visitors, assign a follow-up to a team member and track whether the call, visit or invitation happened.

Attendance and children’s check-in

Count attendance by service and group, and check children in and out with allergy notes and authorised collectors.

Giving and funds

Record gifts by method and fund, issue receipts and yearly statements, and report restricted funds separately. Local rules on statements are reviewed during implementation.

Groups and ministries

Keep rolls, leaders and meeting dates for small groups, youth, choirs and outreach teams.

Volunteer rotas

Build rotas by team and date, let volunteers confirm or swap by message, and show leaders where a role is still empty.

Events and room bookings

Plan services, classes and special events, take registrations, and book halls and rooms without clashes.

Solutions inside

The business modules churches use most.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, Tally reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions churches ask before they call.

Can members give online?

Yes, through a payment provider you already use or choose. Gifts are posted to the member and the fund, and the provider’s own fees and rules apply.

Who can see pastoral notes?

Only people you give that permission. Roles are set during implementation, so a volunteer sees a roll but not a counselling note.

Does it suit a small congregation?

Often yes. A small church can start with the directory, attendance and giving, and add rotas and events later.

Can we import our member spreadsheet?

Yes. Your spreadsheets supply households, members and giving history, and a staff member or volunteer reviews the imported lists before anyone relies on them.

What happens in the free technology audit?

We look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough to start. You get a report ordered by priority, and there is no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. The audit settles the scope, and the cost goes into a written proposal before any work starts.
