Reports for NGO Trustees and Programme Heads
Trustees, funders and auditors all ask for numbers, and usually for the same ones in different shapes. These statements come out of the day to day records.

Where the figures come from
Nothing here is entered twice. A beneficiary count is the register, a utilisation figure is the payment entries against that budget line, and a donation total is the receipts raised. A statement therefore reflects whatever the entries behind it hold. Late field entry shows up as a low count rather than as a gap. Statements can be read on screen, printed, or sent as a sheet.
What the reports leave to others
These are management and funder statements, not accounts. Your auditor prepares the annual accounts and the utilisation certificate, along with anything a department wants. How any receipt or payment is treated is a matter for the trust and its auditor.

Frequently asked questions
Can a statement be produced in a funder’s own format?
In the formats built for you during implementation. A funder that later changes its layout is handled as a change request.
Do these reports replace the annual accounts?
No. They are management statements, and the annual accounts and audit stay with your accountant and auditor.
Can a trustee see a summary without opening reports?
Yes. The trustee opening screen carries the few figures the board asked for, and the full statements sit behind it.
How current are the numbers?
They read whatever has been entered. A centre that files activity weekly will show a week behind until the entries land.
