Twenty names, twenty messages, each one typed out with a different amount in it. It takes an hour, so it happens on the 8th instead of the 3rd, and by then the money has gone on something else.
What goes out on its own
Before the due date
A short message with her name, the month and the amount. Sent early enough to matter, which is the whole point.
After it
A second one to whoever has not paid. It stops when the payment is marked, so nobody is chased for money already given.
Notices to everyone
Water tanker on Friday, painting next week, no visitors during the exam month. One message, the whole building, and nobody claiming afterwards that they were never told.
The ones meant for your side of the desk
Papers still pending for a girl who joined a fortnight ago. A complaint open for nine days. An agreement ending next month. These are not for tenants. They are the things the manager forgets, and they surface where he works instead of in his memory.
Messages can be a nuisance too
Send four a week and tenants stop reading any of them. Pick the two or three that actually matter, keep them short, and leave the rest to the noticeboard. We set up what goes out and when, and turning one off is a message to us.

Can we stop reminders for one tenant?
Yes. Some families pay by quarter and being chased monthly annoys them, so those tenants are left out of the run.
Is there a record of what was sent?
Yes, against the tenant. When a girl says she never got a notice about the rent going up, you can see whether she did.
What time do reminders go out?
At the hour you choose, and most owners pick the morning. A rent message at eleven at night irritates the parents more than it moves the money.
