GullySystem
Healthcare · Psychiatry Clinic Management Software

One connected system for assessments, medication reviews, therapy sessions, follow ups and billing.

Manage a psychiatry clinic in one system. Appointments are booked by clinician and by room, with video consultations alongside visits in person. Each patient’s assessments, psychometric scores, session notes, prescriptions and follow up dates sit on one confidential record. Role limits decide who opens what. Billing, packages and recalls follow from the same entries, so a titration or a lithium level never waits on a second set of papers.

  • Your assessment, rating scale, psychotherapy and package types built in, with staff access limits matched to the clinic
  • Current patients and pending follow ups carried over
  • Medication and session lists amended by GullySystem staff when you ask

Whether a clinic has one psychiatrist or a team of psychologists, counsellors and therapists, GullySystem configures the diary, notes and billing around how it works. Each patient record carries assessments, rating scales, session notes, prescriptions, review dates and billing. Each role opens only the screens its work calls for.

Where it breaks today

What goes wrong before the software.

Records mix sensitive and routine details

A risk formulation sits beside a fee entry in the same folder. Paper cannot restrict who opens which page.

Review dates depend on a note

The next review of clozapine, lithium or an antidepressant is written inside a visit note. Nobody notices a lapsed date until the patient runs out of tablets or turns up.

Missed visits are not followed

A patient on a depot injection who fails to attend is lost in a full diary. Nobody has the job of reaching out the same day.

Remote and in person visits are recorded apart

Video links, PHQ-9 and GAD-7 scores, notes and payments live in separate tools. The history of a patient is rebuilt from several places.

Therapy packages are tracked in notebooks

Prepaid CBT or EMDR sessions and shared rooms are noted by hand. Balances and therapist shares are disputed at month end.

Billing and cover paperwork is slow

Statements for insurers and employers, and fitness certificates, are written from scratch. The documents are prepared from memory and from separate notes.

How it runs

How the work flows through it, step by step.

  1. 1

    Registration and booking

Bookings arrive by phone, through the website or from a referring doctor. Details, collateral contacts and consent are collected, and the visit goes against a clinician and a room or a video slot.

  2. 2

    Assessment

The psychiatrist records history, mental state examination, risk formulation, diagnosis and the plan, on a record that only permitted roles can open.

  3. 3

    Medication and plan

Prescriptions, dose changes, monitoring bloods and the next review date are recorded together, so a lapsed review shows on a list.

  4. 4

    Sessions

Psychotherapy and counselling sessions are logged against a package, with each therapist’s notes kept in their own view.

  5. 5

    Billing

Sessions, assessments and packages are billed. Statements for an insurer or employer are prepared from the same record, with no clinical notes attached.

  6. 6

    Follow up

Patients due for a review or a depot, or who missed a visit, are listed and reminded. A call task goes to the right person the same day.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Appointments and video consultations

Manage assessments, follow ups, psychotherapy sessions and video visits, with views by clinician, room and day. Double bookings of a consulting room are blocked, and a visiting psychologist’s sessions stay in their own column.

Patient registration and consent

Capture contact details, emergency contacts, referral source and signed consent on first registration. Collateral informants, such as a spouse or parent, are listed with what each is permitted to be told.

Confidential clinical records

Hold assessments, mental state examinations, PHQ-9 and GAD-7 scores, risk formulations, safety plans and care plans in one chart, opened only by the roles you permit.

Medication and prescription reviews

Record each prescription, dose change, depot schedule and review date, with monitoring bloods noted, and list reviews that are due or overdue.

Therapy and counselling sessions

Track attendance, session notes and prepaid psychotherapy packages by therapist, with balances visible to the desk.

Missed visit and follow up tasks

Raise a task to reach out when a patient misses a visit, a depot is due or a review comes due. Close it when contact is made.

Billing, packages and statements

Bill assessments and sessions, take prepayments against psychotherapy packages, and print statements for insurers and employers. Each statement lists dates, service codes and payer without opening any clinical note.

Clinician share

Work out each visiting clinician’s share from sessions completed, ready for the month end.

Access control and audit log

Give each role only its own screens. Record who opened or edited a sensitive note, such as a risk formulation.

Reminders and recalls

Send visit reminders, depot due alerts and review recalls by SMS, email or messaging app, with wording the clinic sets. Messages avoid naming the diagnosis, so a phone left on a desk reveals nothing.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Appointment Scheduling

The desk books assessments, follow ups and video visits against a clinician, and reads the day by clinician, room or date.

  • Roles and Permissions

Each role sees only the screens it needs, so a receptionist reaches the diary and billing but not the clinical notes.

  • Audit Trail

Every opening or change of a sensitive note is logged with the person and the time, ready for the owner to review.

  • Task Management

A missed visit, a depot due or a review coming up raises a task with an owner, and it stays open until contact is recorded.

  • Invoice Management

Assessments and sessions are billed from the visit record, prepayments are set against packages, and statements are printed for payers.

  • Commission and Incentives

A visiting clinician’s share is worked out from the sessions completed and the rule agreed with the clinic.

  • Service Reminders

Visit reminders and review recalls go out from the record, with wording the clinic has set for each message.

  • Document Management

Signed consent, referral letters, rating scale forms and intake papers attach to the patient record and are found from the same screen.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the clinic owner

Read the week by clinician: visits, package balances, overdue reviews, missed depots and takings by service.

For psychiatrists

See your list for the day, each patient’s scores, history and prescriptions, and the reviews you have set.

For therapists and counsellors

See your own sessions, packages and psychometric results, and nothing outside what your role allows.

At the front desk

Run the diary, register patients, take payments, and work through the call list for missed visits.

Reports

The numbers the owner asks for.

  • Visits by clinician and type
  • Medication reviews, depot injections and monitoring bloods due and overdue
  • Missed visits and follow up outcome
  • Psychotherapy package sessions used and remaining
  • Takings by service and payer
  • Clinician share payable
  • Access log for sensitive notes and risk formulations
Good fit

Who this is built for.

  • Single-psychiatrist clinics
  • Clinics with psychiatrists, psychologists and counsellors together
  • Practices that offer video consultations
  • Clinics that sell psychotherapy packages
  • Practices with visiting clinicians in shared rooms
Honest answer

When it is not the right choice.

  • One clinician with a handful of patients a week may do well with a diary and a locked paper file.
  • Inpatient wards, beds and discharge are hospital work, and a hospital system covers them better.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your session types and fees

Assessments, rating scales, follow ups, psychotherapy sessions, packages and fees are entered as your clinic offers them.

Role access

The owner and the implementation team agree who sees what, then test it against the clinic’s own privacy policy.

Patients and open follow ups migrated

Lists, contact details and pending follow ups are brought across from the software or paper files in use today.

Forms and consent wording

The clinic’s intake forms, consent text and safety plan template go in unchanged. The clinic and its advisers decide the wording.

Hosting and changes

Every site reads one patient list on the platform GullySystem runs for you. When a session type or fee changes, ask and our team makes the edit.

Common questions

Questions owners ask before a demo.

Is this for psychiatry or general clinics?

Psychiatry. Confidential notes, rating scales, medication reviews, psychotherapy packages and follow up tasks are part of the product. A hospital with wards needs a different system.

Who can see the clinical notes?

Only the roles you choose. The front desk may see the diary and billing, while the psychiatrist sees the whole record. Each opening of a sensitive entry is logged.

How are medication reviews followed?

Each prescription carries a review date, and depot injections carry a schedule. The clinician has a list of reviews coming due or overdue, so no date hides inside a visit note.

Can therapy packages be sold and used up?

Yes. A package is prepaid, each session attended is counted against it, and the desk and the therapist both see the balance.

What happens when a patient misses a visit?

A task is raised with the patient’s name and the person who should reach out. It stays open until contact is recorded, which matters most for patients on a depot or after a crisis.

Can video consultations be recorded in the system?

The booking, the notes and the payment are recorded. The video tool you already use stays separate, with its link attached to the appointment.

Can existing patient files be brought in?

Yes. Patient lists and pending follow ups load from a spreadsheet or the software you use today. A clinician reads a few imported charts against the originals before opening day.

Who owns the records?

The clinic does. How charts are handed back if you ever move is spelled out in the proposal, so leaving is planned from day one.

How is the price decided?

It follows clinicians, sites, users and the data to bring over. We first show the diary built from your own session list, then put the figures on paper.

Is it needed for one practitioner?

Maybe not yet. A single practitioner with simple billing may manage with a diary. A working session can say so frankly.

Wondering what it costs? Six questions give you a written scope and the buckets any quote should separate.
