Finance and insurance · Wealth Manager and Adviser Management Software

One record for each household’s holdings, reviews, agreed actions and client papers.

Manage households, the accounts and holdings behind them, review dates, agreed actions, client documents and fee income in one system for wealth managers and financial advisers. Each household record carries its members, goals, risk profile and statements. Relationship managers see their own families and open tasks. Partners see the whole book. Execution stays on your platform and custodian, while the system keeps the record around it.

  • Household structure, account types and review cycles set the way your firm works
  • Client list, statements and open actions loaded from your sheets before go-live
  • Changes to fee schedules and task types handled by GullySystem staff when asked

Every household’s members, accounts, holdings, goals and risk profile live on one record in this system, built by GullySystem for wealth managers and financial advisers. Reviews are scheduled, agreed actions become tasks that close on proof, and client papers sit in a vault with expiry dates. Fee and commission income is matched to households. Trading stays on your platform.

Where it breaks today

What goes wrong before the software.

A household is split across many logins

A couple, two parents and a family trust hold accounts at different custodians, banks and insurers. Each statement shows one slice. Whoever prepares a review assembles the whole picture by hand.

Risk profiles and goals sit in old files

The questionnaire a client signed three years ago says one thing, the conversation last month said another, and the notes about a child’s tuition target live in a personal notebook.

Agreed changes are not tracked after the meeting

A rebalance, a beneficiary change and a transfer between accounts are all agreed aloud. The follow-up sits in an email draft, and no one can show the client what was done.

Identity and mandate papers expire quietly

Proof of address, signed advisory agreements and bank mandates each carry their own dates. A lapsed paper is found only when a transaction needs it.

Fee income is hard to match to households

Advisory fees billed by the firm, commissions from product providers and trailing income from platforms arrive on different schedules. Reconciling them to a family is a quarterly spreadsheet exercise.

Partners cannot see who is overdue for a call

Each relationship manager keeps a private diary of reviews. Leave, a busy quarter or a departure leaves families without a named contact and without a date.

How it runs

How the work flows through it, step by step.

Illustration with sample figures. Your screens are built around your own records.
  1. 1

    Introduction and fact find

A referral is recorded with its source. The first meeting captures household members, income, goals and existing holdings, and the engagement terms are filed with the signed agreement.

  2. 2

    Onboarding and checks

Identity papers, address proof, source-of-funds notes and the risk questionnaire are collected per member. Each paper shows who received it, its issue date and when it lapses.

  3. 3

    Plan and holdings record

Accounts, policies, property and liabilities are entered or imported from statements. Goals are attached to the holdings meant to fund them, and the recommendation letter is stored.

  4. 4

    Review cycle

The next review date is set per household. A pack is prepared from the latest statement values, the meeting is held, and the note is filed against the family.

  5. 5

    Actions and instructions

A decision reached with a client in the review meeting becomes a task for one named adviser, with a date against it. It stays open until the platform confirmation or the signed form is attached.

  6. 6

    Fees and renewals

Advisory fees are invoiced on the agreed schedule, and commission or platform income is matched to the household. Agreement renewals and suitability refreshes are raised before they fall due.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Household client record

Keep members, relationships, tax residency, goals, risk profile and a contact history on one record, so any colleague can pick up a family without a handover call.

Accounts and holdings register

List every account, policy and asset by owner, custodian and product type, with values imported from statements and the date each figure was last refreshed.

Recurring investments and maturities

Track standing contributions, term deposit maturities, bond redemptions and policy premium dates by household, with reminders set before each one falls due.

Risk profile and suitability record

Store the signed questionnaire, the stated objective and each recommendation letter. A profile older than your refresh interval is flagged before the next review.

Review calendar and meeting notes

Set the next review per household, remind the manager and the client, assemble the pack, and file the meeting note and attendees against the family.

Action tracker

Turn each agreed change into a task with an owner, a due date and a required attachment. Partners see overdue actions by manager and by household.

Identity and document vault

File mandates, advisory agreements, identity papers and signed forms per member, with expiry dates, version history and access limited by role.

Fee and commission ledger

Raise advisory invoices on the agreed basis, record commission and platform income received, and match each line to a household for the quarter and the year.

Client portal

Give each household a login to see its consolidated statement, upload papers, read meeting notes and approve a form, without an email chain.

Access by role and activity log

Limit each manager to assigned households. Every file opened, paper downloaded and note edited leaves a log line your compliance officer can read.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Contact & Account Management

Every member of a family, with relationships, goals and contact history, sits on one household record that any colleague can open.

  • Task Management

A rebalance or a beneficiary change becomes a task with an owner and due date, and it stays open until the confirmation is attached.

  • Appointment Scheduling

Each household’s next review is booked in the manager’s calendar, reminders go out beforehand, and the meeting note is filed against the family afterwards.

  • Document Management

Mandates, advisory agreements and identity papers are filed per member with issue and expiry dates, and earlier versions stay readable.

  • Invoice Management

Advisory fee invoices follow each client’s agreed basis, and the ledger shows what has been billed to a household and what remains unpaid.

  • Client Portal

A household signs in to read its statement and meeting notes, upload a requested paper and approve a form from its own device.

  • Audit Trail

Every opened file, downloaded paper and edited note is logged with the user and time, so a compliance officer can answer a query quickly.

  • WhatsApp, SMS and Email Notifications

Reminders for a term deposit maturity, a bond redemption or a policy premium reach the manager and, where chosen, the client by email or SMS.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For partners and principals

See households per manager, reviews overdue, actions past due, papers expiring and fee income by family, without asking each person for a list.

For relationship managers and advisers

Open a household, read the last note, prepare the review pack, record what the client agreed, and see which of your families have no date booked.

For client service and operations

Chase papers, close tasks with confirmations, keep the vault current and prepare statements for meetings. Nothing sits in a personal inbox.

For compliance officers

Read the suitability record, the access log and the document history for any client when a query or an internal check arrives.

For clients

Sign in to see the household statement, upload a requested paper and approve a form. Messages and reminders arrive by email, SMS or messaging app.

Reports

The numbers the owner asks for.

  • Reviews due and overdue, by manager and household
  • Agreed actions open, past due and closed, with the attached proof
  • Identity papers, agreements and mandates expiring in the next period
  • Risk profiles older than the refresh interval
  • Assets under advice by household, product type and custodian
  • Advisory fees invoiced, commission received and unmatched income
  • Households without an assigned manager or a booked review
Good fit

Who this is built for.

  • Independent wealth management firms serving families and individuals
  • Financial advisers who run their own practice with a small team
  • Multi-family offices that coordinate holdings across custodians and banks
  • Planning firms that charge a retainer and hold regular reviews
  • Advisory arms of larger groups that need a record of their own households
Honest answer

When it is not the right choice.

  • An adviser looking after only a few clients can get by on a paper diary and one shared folder.
  • Firms that need order routing, trade execution or portfolio accounting will find a portfolio management platform closer, with this system kept around it for client records.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Household and account structure

Trusts, joint accounts, members and the products you advise on are recorded in the same terms your firm uses when it talks about a family.

Review cycle and pack contents

Review frequency by client tier, the pack layout and the meeting note template follow your own practice.

Fee schedules

Retainer, percentage-of-assets and one-off fee bases, and the income types you receive, are set up for your invoicing.

Rules, forms and retention

Required papers, suitability wording and retention periods are set up and reviewed with your compliance officer and your regulator’s requirements.

Statement import

Formats from your custodians and platforms are mapped during the build, so holdings arrive without retyping.

Hosted by GullySystem

GullySystem hosts the system and applies agreed changes, so every manager and the compliance officer read the same record.

Common questions

Questions owners ask before a demo.

Does the system place trades or hold client money?

No. Orders and custody stay with your platform and custodian. This system keeps the household record, the review trail and the paperwork around them.

How do holdings get in without retyping?

Statement files from your custodians are mapped during the build and imported on a schedule you choose. A value shows the date it was last refreshed, so a stale figure is easy to spot.

Can we record a joint account that belongs to two households?

Yes. An account can be linked to more than one owner with a stated share, and it appears under each household. The reviewer sees which figures are shared.

Can a junior manager open every family?

Not unless a partner grants it. Access follows assignment, so a manager sees assigned households and partners see the whole book. Every file opened is written to the log.

Will this make our firm compliant with our regulator?

No software can promise that. It holds the suitability record, the document dates and the access log in one place. Rules and required forms are set up and reviewed with your compliance officer.

Can a client see their own statement and notes?

Yes, if you switch the portal on. A household sees its consolidated view, uploads requested papers and approves forms. You choose which meeting notes are shared.

What happens to our existing spreadsheet of clients?

It is loaded before go-live. Households, members, accounts and review dates are mapped from your columns, and a partner checks a sample of families against the originals.

How are advisory fees and commission income kept apart?

Each income line carries a type, a payer and a household. Advisory invoices come from your fee schedule, and commission or platform income is matched afterwards. Unmatched lines are listed for clearing.

If we part ways, can we keep our records?

Yes. Household records, notes, task history and vault papers can be exported in open formats. Before the build begins, the proposal states exactly which record types leave with you.

Is there a way to look at it first?

Ask for a working walkthrough using sample households. Cost then follows the households and advisers covered, the roles to configure, and how many custodian statement formats must be mapped. Signing and calendar links are separate parts. The proposal sets out the cost in writing, part by part.

What would relationship managers rely on before the portal is built?

Household client records, the accounts and holdings register, risk profile records and the review calendar would be the opening release. The action tracker and document vault follow. The fee ledger, client portal and activity log come last. Every stage gets a date when the proposal is written. Statement mapping varies by custodian.

What should partners and compliance gather before the household structure is entered?

Gather the client spreadsheet, a sample statement from each custodian, your fee schedules, the review pack layout and the papers your firm requires. Retention rules need writing down. Each of partners, advisers, operations and compliance names one contact. An agreed rule on who sees which household is essential.
