Proof Found by Opening the Client
A scrutiny notice arrives for a year three people have left since. Somebody has to produce the return as filed and the challan that went with it.
What goes on the job when it is done
The filing happens on the portal. The proof comes back here.
The acknowledgement number
Typed on the job as a field, not buried in a PDF name. It is searchable, which is the whole point on the day somebody asks for it.
The return as filed
The actual document that went in, attached to the job for that period. Not the working file, not the draft the client approved.
The challan
Tax paid, with its date and reference, sitting beside the return it belongs to.
Who filed it, and when
The staff member and the date and time. Three years on, the office knows whose hands it passed through.
Found by client, not by folder
- Everything filed for one client, year by year and service by service
- One year across every client, when a circular applies to all of them
- Jobs marked filed with no acknowledgement uploaded, which is a real gap
- A copy pulled out for a client who asks for last year’s return
Being clear about this
No return is filed from here
Filing happens on the department portal exactly as your office does it today. This software records what was filed, stores the proof and keeps it findable. Nothing is submitted to anyone.
The upload is a human step
Somebody has to put the acknowledgement on the job after filing. The list of jobs marked filed without proof exists because that step gets skipped in the last hour of a due date.
Frequently asked questions
Can it fetch acknowledgements from the portal?
No. Nothing is connected to any department portal, and no credentials are held here. The article who files uploads the acknowledgement to the job.
How far back can we load old acknowledgements and filed copies?
As far back as you have the papers. Two or three years is the span that actually gets asked for, and how much more you load is your call.
Can a client download his own filed return?
If you allow it. Through the portal he sees his own filings and bills and nothing belonging to any other client.
Where is all this stored?
On hosting we run and back up nightly. The records are your firm’s, and taking the whole set out is written into the proposal.
