Sports and Fitness · Cricket Academy Management Software

One system for trials, batches, net bookings, fees and player progress.

Manage trials, enrolment, batches, net and ground bookings, session attendance, fees, tournaments and kit in one system. Each player carries a batch, a progress card and a fee history from the first trial to the last match of the season. Coaches mark attendance on a phone at the nets. The front desk sees who owes a fee and which lane is free. Parents see their own child.

  • Age bands, batch timings and fee plans entered to match your coaching set-up
  • Player, parent and dues entries copied in from your register
  • Lanes, grounds and the kit list named with your head coach

Trials, batches, net bookings, attendance, fees and squad selection all live in Cricket Academy Management Software, built for academies by GullySystem. Each player carries a batch, a progress card, an attendance record and a fee history. Coaches mark sessions on a phone, and parents read dues and receipts through their own login.

Where it breaks today

What goes wrong before the software.

Net lanes are double booked

Two batches get one lane in the same hour. The wall chart is crossed out. A group waits at the boundary while another finishes.

Fee cycles run on each joiner’s date

A player who joined mid month pays on a different date from the rest. The desk remembers whose cycle ended, and some reminders go late.

Progress notes are not written down

Grip, stance, bowling action and fitness scores stay with one coach. When a player changes batch, the next coach starts from nothing.

Selection lists draw complaints

Attendance, recent scores, wickets and injuries sit in separate books. A parent challenges the squad list, and the coach has no single page to show.

Trial enquiries go cold

A parent calls about a trial, the desk notes it on a slip, and nobody rings back about the date. The player joins another academy.

Lent equipment never returns

Helmets, pads and ball buckets go out to a batch for the season. Nobody records who holds what. Counts at season end never match.

How it runs

How the work flows through it, step by step.

  1. 1

    Enquiry and trial

A parent’s enquiry becomes a record with the player’s age and level sought. A trial slot is fixed, and the coach’s notes from the net session are added afterwards.

  2. 2

    Enrolment

The player is placed in an age group and batch. The fee plan, kit list and parent contact are set, and the first fee is received.

  3. 3

    Sessions

Net lanes and the turf wicket are booked by batch and hour. The coach marks attendance, and injuries or drills are noted on the player.

  4. 4

    Progress

Each term the coach rates skills and fitness on the card. The head coach reads the card before moving a player to a higher batch.

  5. 5

    Matches

Squads are picked from attendance and form. Consent is collected, travel is planned, and runs and wickets are logged against each player after the match.

  6. 6

    Fees and renewals

Reminders go out before a cycle ends. Each payment gets a receipt, and anyone whose cycle lapses lands on the desk’s call list.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and trials

Record each enquiry, fix the trial slot and keep the coach’s notes on batting, bowling and fielding with the player’s file.

Players, parents and batches

Hold the player, the parent contacts, the age group and the batch, with a history of every move from one batch to the next.

Net and ground booking

Book lanes, the turf wicket and the indoor hall by hour for each batch, and see clashes and rain-offs on a single day view.

Session attendance

Mark attendance by batch from a phone at the nets, with notes on injuries and late arrivals kept against the player.

Player progress cards

Rate batting, bowling, fielding and fitness each term, add the coach’s remarks and keep earlier cards for comparison.

Fee plans and receipts

Set monthly, quarterly or seasonal plans per batch, take part payments, issue receipts and list the players whose cycle has ended.

Tournaments and squads

Build the squad from attendance and form, record parental consent and travel, and log runs, wickets and catches per player.

Coach and trainer schedule

Assign coaches and fitness trainers to batches and lanes, and read each coach’s weekly load and the sessions they take.

Kit, balls and equipment

Record kits sold, equipment lent to a batch and returned, damage notes and reorder levels for match balls and cones.

Parent portal and messages

Give each parent a login for attendance, dues, receipts and schedule changes, and send batch messages for rain-offs and match days.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Every parent’s enquiry is logged with the player’s age, the source and the trial date, and follow-up calls are listed for the desk.

  • Resource and Room Booking

Net lanes, the turf wicket and the indoor hall are booked by batch and hour, and a second booking on the same lane is refused.

  • Attendance & Time Tracking

Coaches mark each player present or absent at the nets from a phone, with injuries and late arrivals noted against the session.

  • Subscription Billing

Monthly, quarterly and seasonal plans raise a due for every cycle, and a lapsed player is listed for the desk to call.

  • Receipts Management

Part payments by cash, card or transfer are posted as receipts against the player’s plan, so the balance is known at the desk.

  • Stock Tracking and Alerts

Kits sold and equipment lent to a batch are recorded with returns and damage, and match balls carry a reorder level.

  • WhatsApp, SMS and Email Notifications

Rain-off notices, fee reminders and match-day instructions go to parents from the batch record, without the coach typing each message.

  • Client Portal

Each parent logs in to read the child’s batch, attendance, dues and receipts, and sees nothing about other players.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For head coaches

Read batch strength, progress cards and the promotion list, and plan lane use across the week.

For coaches

Mark attendance at the nets, rate players each term and suggest squads from recent sessions.

For the front desk

Log enquiries, fix trials, enrol players, take fees and call the players whose cycle has lapsed.

For parents

See the child’s batch, attendance, dues and match schedule, and download receipts from a phone.

For owners

See enrolment by age group, fees collected against due, and lane and coach load across grounds.

Reports

The numbers the owner asks for.

  • Enrolment by age group and batch
  • Attendance by batch and by player
  • Fees due, received and lapsed by plan
  • Net and ground use by lane and hour
  • Trial enquiries converted to enrolments
  • Match runs, wickets and appearances per player
  • Kit and equipment issued and not returned
Good fit

Who this is built for.

  • Academies that coach juniors and seniors in several batches
  • Coaching centres with their own turf wicket, nets or indoor hall
  • Academies that send squads to local and regional tournaments
  • Programmes run by a club or a school with a paid coaching team
  • Multi-ground academies that share one head coach and one fee desk
Honest answer

When it is not the right choice.

  • A coach who trains a handful of players on a public ground can manage with a phone and a notebook.
  • Clubs that mostly run leagues and live scoring will find a dedicated scoring app closer, and gyms with machine memberships fit Gym Management Software better.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Age groups and batches

Junior and senior bands, batch hours and ability levels go in just as your coaches group the players.

Fee plans

Monthly, quarterly and seasonal fees, kit charges and any sibling or scholarship concessions are set with your desk.

Grounds and lanes

Each ground, net lane, turf wicket and indoor hall is listed with its booking hours.

Players migrated

The register you keep today supplies each player, parent, open due and batch history entry.

Messages to parents

Fee reminders and rain-off notices reach parents by SMS, email or whichever messaging channel the academy picks.

Hosted by GullySystem

Common questions

Questions owners ask before a demo.

Can two coaches book the same net lane?

No. A lane is held for one batch at a time, and a second booking is refused with the name of the batch already there. Rain-offs can move a whole group in one step.

How is a player’s progress recorded?

The coach rates batting, bowling, fielding and fitness each term and adds remarks. Earlier cards stay on file, so a new coach reads the history on the player’s first day.

Can fees differ for juniors, seniors and siblings?

Yes. Plans are set per batch, and concessions such as a second child or a scholarship are applied to the plan. The desk sees what is owed after each concession.

What do parents see?

A parent sees the child’s batch, attendance, dues, receipts and match schedule. Coach remarks appear only if the academy chooses to show them.

Can it score matches live?

No. Live scoring is a different tool. After a match, the result, runs, wickets and catches are entered against each player for selection and progress use.

Does it work for academies on more than one ground?

Yes. Each ground keeps its own lanes, coaches and batches. The owner reads fees and attendance across all grounds on one screen.

How are lent kit and equipment tracked?

A helmet, a pair of pads or a bucket of balls is issued to a batch or a player and marked returned later. Damage notes go on the item, and outstanding items are listed at season end.

Can we move our player register in?

Yes. Players, parents, batch history and unpaid fees go in from your sheet, and the desk checks that list before anyone marks the first session.

What does a demo show, and how is cost decided?

You see a batch, a net booking, an attendance sheet and a fee plan built around your own age groups. Grounds, staff logins and fee plans all shape the quote. We send it in writing once we know how many age groups train each week.

Who owns the player data?

The academy does. A child’s record opens differently for coaches, desk staff and parents, and the quote spells out how the academy’s data is handed back.
