Facility Inspection Rounds and Checklist Records

A facility manager walks the site against a checklist rather than by eye. Each point, its reading, a photograph and the pending items are kept with the date of the round.

What a round records

The checklist is built area by area, the way a manager actually walks a building.

Checklist by area

Lobby, staircase, basement, terrace, garden, toilets and lift car, each with the points your client expects checked.

Done or pending

Every point is marked done or pending. A pending point carries a note of what was wrong.

Photographs

A picture against the point, which settles a later dispute about whether the basement was swept that morning.

Readings

Water tank level, DG fuel, the last pest treatment date, or whatever your contract asks be noted on a round.

Who signed

The manager who walked it and, where the client wants it, the admin who countersigned.

Clearing pending points

A pending point does not vanish when the round closes. It stays open until somebody records the work done. Pending points from the last round appear at the head of the next one, so a cracked basement drain is not quietly dropped after two visits.

Rounds your client reads

Much of a contract is judged here.

  • Rounds completed this month against rounds promised
  • Pending points by area and how long each has stayed open
  • Photographs from the most recent round at that site
  • Points raised by the client admin on a joint walk

What inspections do not replace

A round is a record of what your manager saw. It grades nobody at all. Attendance, complaints and maintenance rounds stay separate records, each with its own screen. How your company acts on a poor round is a matter for your operations team.

FAQ

Frequently asked questions

Can the client walk the round with the manager?

Yes. A joint walk is recorded as one round, with the admin marked as countersigning and their points listed separately.

How often is a round expected?

As often as your contract says. Daily, weekly and monthly rounds can all run at the same site.

Does a pending point become a complaint?

It can be turned into a ticket, which gives it an assigned person and a reply hour instead of sitting on the round.

Can checklists differ between sites?

Yes. A mall, a hospital block and an office floor each get their own points, drawn from the list your operations team keeps.
