Consumables and Site Indents for Facility Teams

Phenyl, garbage bags, hand wash, brooms and spares go out from your godown to the sites. Indents, issues and consumption per site are recorded instead of being settled on a call.

From indent to issue

Four steps, each with a date and a name against it. A supervisor ringing the office for two drums of phenyl leaves nothing behind, while an indent carries the quantity, the approval and the issue against that site.

The site raises an indent

The facility manager asks for what the block needs, item by item, with the quantity and the date wanted.

The office approves

The back office sets the request beside what that site is allowed each month under its contract.

The godown issues

Stock leaves the store against the site, naming who collected it and when.

The site confirms receipt

The supervisor records what actually arrived, so a short delivery is caught at the gate rather than at month end.

Consumption read back

Issue per site per month, which shows your office which contract is taking more material than the rate allowed for.

Godown stock

Purchases in, issues out, and the balance on the shelf. Reorder levels can be set per item, so cleaning chemicals do not run dry in the middle of a month. Purchase bills from your suppliers are entered against the item, and the rate history stays readable.

Billable and free material

Contracts differ on who pays for what.

  • Material covered inside the monthly contract rate
  • Material the client pays for over and above that rate
  • Spares used on a breakdown, billed against that complaint
  • Material sent to a site and returned unused

What this module does not do

It is not a purchase department. Vendor negotiation, credit terms and the taxes on your purchase bills remain your office’s work. The module holds what was bought, what went to which site and what is left. How a purchase is treated in your books stays with your accountant or advisor.

FAQ

Frequently asked questions

Can a site indent be rejected?

Yes. The back office can cut the quantity or refuse the line, with a reason the site facility manager reads. The reason is logged.

Is consumption compared against the contract?

Yes. Issue per site per month sits beside the material allowance in that contract, which is where overruns show.

Does it handle more than one godown?

Yes. A central store and a zonal store can both be kept, each with its own stock and issue records.

Are supplier payments tracked here?

Purchase bills and their due dates are recorded. Payment entries and ledgers belong with your accounts team or your accountant.
