Reports for Facility Management Company Owners

Every figure here is built from the deployment, attendance, complaint, maintenance and billing entries your sites already make. Owners and operations managers read them without joining registers by hand.

The reports

Each one names the records behind it. Nothing on this page is keyed in twice, because every line is read from deployment, attendance, complaints, maintenance rounds, indents, bills and wage entries made at the sites.

Headcount deployed against contracted

Plan per category beside the strength marked present, site by site, which is the figure a client queries first.

Attendance, absence and cover

Present days, absences and the relievers sent, by site and by category.

Complaints logged, attended and pending

By site and category, with ageing measured against the reply hour your contract names.

Planned maintenance due and overdue

Rounds falling due, rounds completed and rounds past their date, per equipment and per site.

Consumable indent and issue per site

What a site asked for and what left the godown, against the material allowance in that contract.

Contract bills and payment outstanding

Bills raised per client with ageing, so a contract running two months behind is visible.

Wage summary

Duties, overtime, advances and deductions for the month, grouped by site and category.

Who acts on which

Your owner reads strength, complaint ageing and payment outstanding. The operations manager works short posts and the overdue maintenance list. Site facility managers read their own site. An owner who sees thirty open complaints at one site and a clean sheet at another knows which contract manager to call before the client does. The back office carries the billing and wage summaries into month end. Nobody waits for a sheet from somebody else.

What the figures reflect

A figure is only as sound as the entry behind it. A duty never marked at the gate does not reach the bill. A complaint closed by word of mouth and never recorded keeps running on the ageing list. A report that looks wrong usually traces to a missed entry at a site.

What your office decides

Which reports a manager may open, and whether a client admin reads anything beyond their own site, are settled with your operations team. A new report can be built from records the system already holds. Ask for one after go-live.

FAQ

Frequently asked questions

Are the figures live?

Yes. They move as sites mark attendance, close complaints and raise indents, so the morning strength list is current.

Can a report be downloaded?

Yes. Reports export to a sheet for your accountant or for a client review meeting.

Can a manager be limited to some sites?

Yes. A manager reads the contracts held, and an owner reads every site together.

Is there a report per client?

Yes. Strength, complaints, rounds and bills can all be read for one client across the sites they give you.
