Facility Management Software Views by Role

One site is handled by your owner, the operations manager, the site facility manager and the helpdesk. Each of them opens a different screen on the same records.

The roles

Six kinds of user, and the screens each needs. A helpdesk clerk logging a choked drain and an owner reading payment outstanding across thirty contracts are working on the same records from opposite ends of the office.

Owner or director

Every site with its deployed strength, complaints open, maintenance overdue, bills raised and payment still to come in.

Operations manager

The roster across contracts, short posts this morning, complaint ageing, transfers between sites and the overdue maintenance list.

Site facility manager

One site only. Attendance to mark, complaints to assign, the checklist round due and indents to raise.

Helpdesk staff

A queue of complaints to log and chase, by site and category, with the reply hour running on each.

Back office

Rates, bills, wage sheets, staff papers, godown stock and purchase entries.

Client admin or association

Their own site. Complaints raised and closed, rounds completed, strength present and bills against the contract.

How the arrangement is made

A person is given a role, and the role decides the screens. A facility manager holding two contracts sees those two and nothing of the third. A client login is limited to one site and shows no rate, no wage and nothing of your other clients. Your office asks for what it wants.

What each role may change

Reading and editing are not the same thing.

  • Site staff mark attendance and close complaints, not rates
  • Only the back office edits a past attendance day
  • Only the operations manager alters a deployment plan
  • Client logins read records and raise complaints, nothing more

What role views do not do

A role hides nothing from your own trail of entries. Each entry still shows who keyed it. Nor does a client login become a second system. It reads what your team entered at that one site, which is why a client never sees a figure your office has not already recorded there.

FAQ

Frequently asked questions

Can a supervisor be given two sites?

Yes. A facility manager can hold several sites, and the screens then cover exactly those and no others.

Will a client see our rates?

No. A client login shows complaints, rounds, strength and their own bills, with no rate card and no wage figure.

How are roles changed later?

GullySystem staff adjust them on request, and a change takes effect for that person at the next sign-in.

Does the owner see everything?

Yes, across every site and contract, including the figures that site staff and client logins are kept away from.
