Staff Records for Facility Management Companies

Each person on your rolls has one record, whichever site they stand at. Papers, skills, wage basis and every posting since joining are held against that record.

What the record carries

A facility company moves people between contracts, so the record follows the person rather than the site. A housekeeping hand posted at an office block in April and at a hospital in July keeps one record, and both postings stay readable.

Person and category

Name, photograph, phone number, address, joining date and the category the person is engaged under.

Papers and dates

Identity proof, bank details, police verification where your client asks for it, and the dates on which any document falls due for renewal.

Skills and trade

A plumber, an electrician, a lift operator or a general housekeeping hand. The roster uses this when a technical post has to be filled.

Wage basis

Monthly or daily rate, overtime basis, night allowance and the deductions your office applies, held as the terms of engagement read.

Posting history

Every site the person has stood at, with dates. A client asking who worked at their premises last March gets an answer from the record.

Uniform and kit

Shoes, uniform sets and identity cards issued, with the date of issue and what is due back on separation.

Who maintains it

The back office opens the record at joining and keeps the papers. Site facility managers add notes on conduct and training. The operations manager reads skills when a post needs a particular trade. Separation is marked by the back office, with the last working day.

What it feeds

Other screens start here.

  • Rosters pick from staff whose category and skill suit the post
  • Attendance is marked against this person at this site
  • The wage sheet reads the rate and deduction terms held here
  • Document renewal dates appear on a list your office works through

What your office decides

Wage terms, allowances and deduction heads are yours to set. GullySystem records what you tell it. Your auditor decides how any statutory contribution is computed and filed. The software holds the figures and the dates.

FAQ

Frequently asked questions

Can a rejoining worker keep the old record?

Yes. The earlier record is reopened with a fresh joining date, so the posting history from before is not lost.

Where are document renewal dates shown?

On a dated list for the back office, covering identity papers, verification and anything else your clients ask you to hold.

Does it hold staff of sub-contractors?

Yes, marked as such. Their duties can be read for site strength while their pay stays outside your wage sheet.

How is a person separated?

The back office marks the last working day. Open postings close on that date, and kit still to be returned is listed.
