Facility Shift Roster and Reliever Cover

The roster says who stands at which post, on which shift, through the month. Weekly offs, leave and reliever cover are all written on the same sheet.

Building the month

A roster is drawn once and then edited as the month moves. Leave coming in on the tenth, a transfer on the fifteenth and a sudden absence are all absorbed into the same sheet without a fresh one being drawn.

Shifts per site

Morning, general, evening and night timings as that site runs them. A mall and an office block rarely keep the same hours.

Post by post

Each post the deployment plan names gets a person for each shift, with the category the post calls for.

Weekly offs and leave

Offs are spread so no shift empties. Leave applied for and approved is shown on the sheet before the month starts.

Reliever pool

Staff kept free of a fixed post, available to any site. The pool is the first place the operations manager looks when somebody does not report.

Double duty

A person covering a second shift is marked, and the extra duty carries through to the wage sheet and to the site bill.

When somebody does not report

The shift start hour passes and a post stays unmarked. A post open past the first hour of the shift sits at the top of the operations screen until somebody fills it. A reliever is assigned, or a person on the earlier shift is held back on double duty. Either choice is written against the post with its reason.

What the supervisor sees

The site facility manager opens the day on one screen. Nothing else is needed.

  • Who is expected on each post this shift
  • Who is on weekly off or approved leave today
  • Posts still unmarked after the shift start hour
  • Relievers sent to this site and the post each fills
  • Double duties running at the site today

What the roster does not settle

It does not fix how many hours a person may work or how offs must fall. Those terms are yours. Your office sets the shift patterns and the rules the roster then follows. Overtime limits and their treatment stay with your accountant or advisor.

FAQ

Frequently asked questions

Can a roster be copied from last month?

Yes. The previous month can be carried forward and then edited, which saves rebuilding a stable site from nothing.

Will the system stop a person being put on two posts?

Yes. A person already rostered for a shift cannot be placed on a second post in the same hours without the double duty being marked.

Do staff get told their roster?

They can be told. A message over WhatsApp or SMS is possible, and whether you send one is your call.

How far ahead can a roster be made?

As far as you wish. A month is usual, though some offices draw two and adjust as leave comes in.
