AC Service Contract Scheduling and Renewals
An annual service contract lists the units it covers and the visits promised for each. Visits are scheduled from that list, and contracts nearing their end date are shown for renewal.
What a contract record holds
Visits and renewals
Visits falling due in the coming days are listed for the coordinator, who assigns them to technicians. A missed visit shows as overdue. Renewal notices can reach customers over WhatsApp, by SMS or by mail ahead of the end date.
How it connects to the next step
A scheduled visit becomes a job on the technician’s phone, with the service checklist set up for each type of unit that the contract covers. Closing the sheet counts the visit against the contract. Invoices follow the billing terms recorded for that customer.
What the client decides
The contract wording belongs to you and your customer. The software holds the terms you enter and counts visits against them. It does not draft an agreement. Your accountant decides how a prepaid contract is treated in your books.
Frequently asked questions
Can one contract cover many sites?
Yes. A commercial client with several branches can have one contract that lists the units at each site.
What if a customer cancels a scheduled visit?
The visit is rescheduled or marked as skipped with a reason. The count of visits owed to the customer stays correct.
Can a contract be renewed in one step?
Yes. A renewal copies the units and terms into the next period, and the coordinator adjusts anything that changed.
Are contracts and one-time calls reported separately?
Yes. Visits are marked by type, so reports can show contract work apart from paid breakdown calls.
