Installation Job Tracking for AC and HVAC Contractors
An accepted quotation becomes an installation job with a team, a date and a list of materials. Units fitted are recorded against the site with serial numbers, and the job closes with a handover.
What an installation job holds
Handover to the customer
The customer signs a handover on the technician’s phone. The warranty start date is recorded from that day. A service contract can be offered at the same time, using the units just installed.
Who uses it
Coordinators plan the jobs. Installation teams fill in the materials and serial numbers. The store issues stock against the job. Accounts raise the invoice for the stage or for the full job.
What it does not cover
Larger projects with civil work, ducting design drawings or billing against measured stages are better held in Construction Project Management Software. This module suits installation work that is scheduled, fitted and handed over unit by unit.

Can an installation be billed in two parts?
Yes. An advance and a final invoice can be set against the same job, and each is tracked until it is paid.
Where do serial numbers come from?
They are typed in by the installer, or scanned from the unit’s label with a barcode scanner or a phone camera where the label allows.
Does the job record who was on the team?
Yes. Every technician assigned to the job is recorded, which also helps where an incentive is paid per installation.
Can a job be reopened after handover?
Yes. A snag found later is logged as a new visit against the same site and unit, so the original job stays as it was closed.
