Spare Parts and Refrigerant Gas Stock for AC Service
Parts and gas are held in a store and in each technician’s vehicle. Each item fitted on a visit is deducted from the right place and charged to the job.
What is tracked
Buying and reorder
Set a reorder level for parts used often. When stock falls below it, the item shows on a purchase list. Supplier orders are raised from that list, and goods received are booked into the store.
Old parts and returns
A replaced compressor or PCB may have to go back to a brand under a warranty claim. The returned part is logged on the job, so the claim has its proof. Scrap is handled as your business does it today. Nothing more is assumed.
What stays outside
The system holds quantities and costs that you enter. It does not forecast which parts will fail in summer. Nor does it order stock by itself. Stock valuation and how gas cylinder deposits are treated are matters for your accountant.
Frequently asked questions
Can stock be counted on a phone?
Yes. A storekeeper or technician can record a physical count, and the difference from the system balance is listed for review.
Are labels or barcodes needed?
Not required. Where a business wants them for parts, a barcode or label printer can be connected, which is confirmed during scoping.
Can gas be charged by weight?
Yes. The amount added is entered in grams or kilograms and priced as you set, so each top-up carries a cost on the job.
Can parts be bought from several suppliers?
Yes. Each part can be linked to more than one supplier, and a purchase order goes to the one you choose.
