Job Sheets and Customer Sign-off for AC Technicians
Every visit ends in a job sheet filled on the technician’s phone. It records the fault, the readings, the work done, the gas and the parts, and the customer signs on the screen.
What a job sheet records
What happens after sign-off
A closed job sheet is added to the unit’s history. A contract visit is counted. A chargeable visit is passed to billing with the parts and labour lines already filled in.
Who uses it
Technicians fill the sheets. Coordinators review them before closing a call. Accounts bill from them, and owners read them when a customer questions a charge.
What the client sets up
The fields on the sheet and the checklist for each type of unit are decided by you. Whether a signature is required for every visit is also your decision. The sheet records what the technician enters. It does not check the quality of the work.
Frequently asked questions
Can a sheet be filled without a network?
Basement plant rooms often have no signal. Whether a sheet can be saved offline and sent later is confirmed during scoping.
Does the customer get a copy of the sheet?
Yes. A copy can be sent by WhatsApp or email once the sheet is closed.
Can checklists differ by unit type?
Yes. A split unit, a cassette and a chiller can each have their own checklist, so the technician sees only the steps that apply.
Can a supervisor reject a sheet?
Yes, where you want that step. A sheet that is incomplete goes back to the technician with a note before the call is closed.
