Consignment Booking and Lorry Receipts

A booking becomes a lorry receipt, and that receipt is the record every later step reads. Goods, packages, weight and freight terms are fixed at the counter.

What a booking holds

Consignor and consignee

The party handing over the goods and the party receiving them, each with address, phone number and GST number where one is given.

Goods and packages

Description of goods, the count of bags, bundles, drums or cartons, actual weight and charged weight on the same line.

Freight terms

Paid at booking, to-pay at delivery, or added to the party’s monthly bill. The term decides who is asked for the money.

Route and delivery point

Loading station, destination station and the delivery address, with the godown a part load passes through on the way.

Lorry receipt number

The number runs in a series for each branch, and it prints on the consignment note the consignor keeps. The series is yours.

Who books, and from where

The booking counter enters a consignment when the goods arrive at the office or the consignor phones the load in. At a loading point with no counter, a supervisor can book from a phone. Godown staff book transshipment loads that come off one lorry and go onto another. Every entry keeps the clerk’s name and the time beside it.

Where the consignment goes next

On to a trip sheet

The consignment is loaded and listed on that lorry’s trip sheet with its drop point. Nothing is typed again.

On to delivery proof

At the destination the consignee signs against this lorry receipt number, and shortage, damage or refusal is noted on it.

On to the party ledger

Paid freight is receipted at the counter. To-pay and monthly freight travel from the booking to the party account.

What booking does not do

Booking does not set a price. The rate comes from the party’s contract or from a quotation your office has raised. It produces no statutory paper for the consignor, and an e-way bill number, where the consignor supplies one, is only stored against the consignment for reference.

Can one consignment hold many kinds of goods?

Yes. Lines for bags, bundles and loose items sit under a single lorry receipt, each line with its own count and weight.

What happens if a booking is entered wrongly?

An amendment is recorded against the original consignment and the earlier values stay readable. Who may amend is settled with you.

Must each branch keep its own booking book?

No. Every branch runs its own number series inside one system, and the owner reads all branches together on one screen.

Is the consignor given a printed copy?

Yes. The consignment note prints in the copies your office uses, and the same details can go to the consignor by WhatsApp.
