Transport Software Views for Owners, Booking and Drivers

A single consignment passes through several hands in a transport firm. Booking, dispatch, driving and accounts each see only the part of it they handle.

Five roles, one consignment

Owners

See lorries running, consignments booked today, freight outstanding by party, cost per trip and the vehicle papers falling due next.

Booking counter

Book consignments, print lorry receipts, quote from the party rate list and tell a caller where his load has reached.

Traffic and dispatch staff

Allot lorries to waiting loads, open and close trip sheets, hire an attached vehicle when the fleet is out, and watch unloading at the far end.

Drivers

Open the trip on a phone, read the consignments on board, enter diesel and toll, and send the signed delivery copy.

Accounts staff

Raise freight bills, post to-pay collections, settle driver advances and keep the broker, lorry owner and party ledgers.

Through a working day

A trader phones at nine and the counter books two consignments against his contract rate. Dispatch allots a lorry, opens a trip sheet and hands the driver an advance. The driver fills diesel at a pump on the highway and enters it from the road. By evening a delivery photograph from yesterday’s load has reached the booking branch.

At month end

Accounts staff raise the monthly bills for contract parties, with every consignment listed. Freight outstanding, to-pay still lying with drivers and hire payable to lorry owners sit on the owner’s own screen. Branch managers read their own branch only. The owner reads every branch and can set one against another.

What the owner decides

  • Which roles exist at the head office and at each branch
  • Whether a clerk may amend or cancel a booked consignment
  • Who may agree a hire or a rate below the list
  • Whether drivers see freight amounts on a consignment
  • Which branches a manager is allowed to open
FAQ

Frequently asked questions

Should a driver see what the freight is worth?

That is your call. Many transporters show the driver only the goods and the drop point, and keep freight out of his view.

Can a branch clerk book for another branch?

Yes, where you allow it. A booking made for a branch still shows which clerk entered it.

Do drivers need an office computer?

No. The trip, the expenses and the delivery proof all work from a phone on the road.

Who changes what a role may open?

Ask us and we change it. Roles are settled while the system is being set up and revised later.
