Counters, buying, transfers and recalls in one system.

Run a pharmacy chain from one system. The formulary, price tiers and consolidated purchase orders go out from head office to each branch group, and every counter dispenses against identical item codes, blister pack sizes and wholesaler lists. Lot and expiry show by branch, so a recall notice finds the vaccine fridge or the controlled-drug cabinet without a round of phone calls. Patients keep one profile. Area managers audit from a tablet.

  • Depots and clusters of shops entered as head office plans them
  • Item master, patient lists and opening stock by lot migrated in waves
  • Formulary and supplier edits made by GullySystem staff on request

Pharmacy groups with several branches run this system, which GullySystem sets up around their depots, dispensaries and head office buying cycle. Each branch holds stock by lot. Buyers, pharmacists and area managers share prices, transfers, recalls and audit scores, so a head office decision reaches every shelf bay holding that stock.

Where it breaks today

What goes wrong before the software.

Recalls are phoned round the branches

A manufacturer posts affected lot numbers, yet head office cannot see which branch holds them, so each manager is phoned and replies after counting strips on the dispensary shelves. Answers arrive in no order.

Slow lines pile up in one branch

Cough linctus sells out in one town and gathers dust in another, and without cover days per branch a transfer happens only when somebody spots the overstocked bay. Cash sits on the wrong shelf.

Central orders are split by habit

The buyer divides a consolidated order between depots and branches from memory, favouring whichever manager rings loudest while ignoring what each counter sells in a typical week. Small branches run dry.

Promotions start on different days

Promotions on glucometer strips are keyed by hand. Some counters miss the start date, others miss the end date, a few forget to remove the offer, and the weekly margin report cannot be trusted.

Patient history stops at the branch door

A repeat patient collects insulin pens at a second counter and is entered afresh, so the allergy note and dosette box arrangement from the first branch stay invisible. A wrong dispense becomes possible.

Branch checks live on clipboards

Area managers write expiry sweeps, fridge thermometer readings and register counts on clipboards, and head office reads the sheets weeks after the visit, when short-dated packs have long gone.

How it runs

How the work flows through it, step by step.

  1. 1

    Range and pricing

Pricing and buying set the item master, the formulary and the price tiers, then publish promotions to chosen branch groups with a start date and an end date.

  2. 2

    Central purchasing

The buying team places consolidated orders with manufacturers and wholesalers, then splits each line across depots and branches by recent sales and the shelf cover left in every bay.

  3. 3

    Receipt and shelf

Each branch receives against the supplier invoice and scans lot and expiry for every carton, then sends packs to a shelf bay, the quarantine shelf or the vaccine fridge.

  4. 4

    Dispensing and sales

Pharmacists dispense and run the final check on every prescription, while counter assistants sell shop lines, and loyalty points follow the card to whichever branch the customer visits next.

  5. 5

    Transfers and returns

Branches send surplus to short ones on a dispatch note carrying lot and quantity, and short-dated packs are pooled for return to the wholesaler against a credit note.

  6. 6

    Audit and review

Area managers run tablet checklists. They attach photos of untidy bays or warm fridges, and head office then reads sales, stock cover and audit scores together before the next visit round.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Item master and range

Hold one list of medicines, lozenges, inhalers, spacer devices and shop lines with pack sizes, suppliers and branch group ranges, so every till sells identical barcodes.

Central purchasing and allocation

Place consolidated orders per supplier, then split each line across depots and branches using recent sales and the cover days left on every shelf bay.

Branch stock by batch

Show stock by lot and expiry in every branch, with short-dated value, quarantine shelf contents and cover days measured against the sales of recent weeks.

Inter-branch transfers

Transfers carry a dispatch note and a receipt, and stock value posts to the sending and receiving branch at whichever cost rule finance has chosen, so neither ledger drifts.

Recall handling

Match a recall notice to the lots held in each branch, list the packs to pull, and let each manager confirm the withdrawal branch by branch from a tablet.

Price lists and promotions

Publish a new rate or offer to branch groups with its start date, its end date and the items it covers, so every till changes on the same morning.

Shared patient profile

Show medicines, noted allergies and the repeat cycle at any branch, with access limited by role and every view logged for the compliance lead to inspect.

Central dispensing hub

Receive repeat prescriptions from branches, assemble dosette boxes and parcels at a central hub, and track each parcel back to the collecting branch counter.

Branch counter sales

Bill prescriptions and shop items at the counter, apply the loyalty card, and settle the day’s takings by tender type when the till drawer is counted.

Loyalty and offers

Credit points to one card at any branch, and apply the offers head office has attached to chosen items for a stated period. Expired offers drop away alone.

Branch audit checklists

Run expiry sweeps, fridge logs, controlled-drug register counts and shelf checks on a tablet, keep the photos, and compare branch scores in a single view.

Branch rotas and cover

Plan pharmacist and assistant shifts per branch, and flag any counter that would open without a pharmacist-in-charge on the rota for that morning.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Multi-Outlet Stock

Each branch keeps its own count by lot and expiry, and head office reads cover days and short-dated value across every shelf bay in the group.

  • Purchase Order Management

The buying team raises one order per wholesaler and splits every line across depots and branches by the sales of recent weeks and remaining cover.

  • Price Lists and Schemes

A new rate or offer reaches chosen branch groups with start and end dates, so every till changes on the same morning without keying.

  • Batch and Serial Tracking

A manufacturer’s lot list is matched against each branch’s stock, and every manager confirms the packs pulled from the shelf or fridge.

  • Loyalty and Offers

One card earns points at any branch, and head office decides which items carry an offer and for how long it runs.

  • Workflow and Approvals

A transfer needs the sending manager to approve, the driver to dispatch and the receiving pharmacist to confirm before stock moves between the ledgers.

  • Multi-Branch Consolidation

Takings from every counter roll up by tender type each night, so finance reconciles a branch against its own till close and cash count.

  • Dashboards and KPIs

Audit scores, open findings and repeat failures sit beside sales and stock cover for each area manager’s own branches, ready before the next visit.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For head office buyers

Build consolidated orders, allocate lines by branch, compare wholesaler rates, and watch cover days for each line before the next buying round opens.

For branch pharmacists

Dispense against the shared patient profile, act on recall notices for your own shelves, and sign off the incoming transfers. Checks stay on record.

For area managers

Run the audit checklist on a tablet, compare branches on stock and takings, and chase the findings recorded during earlier visits until each one is closed.

For finance and pricing

Publish rates and promotions, reconcile takings by tender for every branch, and match each supplier invoice to the cartons that branch actually received.

Reports

The numbers the owner asks for.

  • Cover and short-dated value by shelf bay
  • Transfers in transit against transfers received
  • Recall lots matched to holding branches
  • Sales and margin by branch group and tier
  • Promotion take-up by branch and till
  • Audit scores with open findings and repeat failures
  • Pharmacist cover against the branch rota
Good fit

Who this is built for.

  • Regional chains of ten to fifty pharmacies
  • Groups pairing counters with a central dispensing hub
  • Chains with in-store pharmacies inside supermarkets or clinics
  • Franchise groups sharing one range and tier list
  • Independents who joined under one buying arrangement
Honest answer

When it is not the right choice.

  • One or two pharmacies under a single owner can use Independent Pharmacy Management Software, which fits a lone stock room better than branch groups and depots do.
  • A group wanting inpatient dispensing on hospital wards is better served by Hospital Clinic Management System, since ward rounds and drug charts sit outside this product.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Branch groups and price tiers

Groups, regions and tiers follow the way head office already plans promotions, formulary changes and depot deliveries, so nobody relearns the structure of the chain.

Allocation rules

Splits between depot and branches follow the buyer’s own rules, such as a floor level per line or a fixed share of recent sales.

Recall procedure

The steps a branch confirms for a recall are agreed with your quality lead, using what the regulator expects of a withdrawal from shelf and fridge.

Migration in waves

One pilot branch moves first. The others follow in waves once its pharmacist has checked the opening stock, the lots and the patient profiles against the old system.

Hosting and changes

GullySystem hosts the system for every branch, and our staff handle edits to ranges, branch groups, supplier lists and audit checklists whenever head office asks.

Common questions

Questions owners ask before a demo.

Does one patient profile work across all branches?

Yes. A pharmacist at any branch can open the same medicines and repeat cycle, with access limited by role and every view logged. Sharing rules are agreed with your compliance lead. Nothing goes live earlier.

How does a recall reach the shelf?

The notice is matched to the lots in stock, and each branch receives a pull list with quantities for every bay and fridge. Managers confirm each withdrawal. Head office watches the list shrink.

Can we keep different ranges for different branches?

Yes. Each cluster of shops carries its own range and price tier, so a small counter inside a clinic can stock a narrower list than a flagship store on a high street.

How are transfers valued?

A transfer carries a dispatch note and a receipt. Stock value moves from the sending branch to the receiving one at the cost rule you choose, and finance reads both sides of the entry.

Can a branch work through a poor connection?

Counters queue entries offline. How much works without a line depends on the till hardware and the branch, and that is settled during implementation with your pharmacists present.

What do area managers use in the field?

Checklists live on a tablet. Findings, photos and scores save to the branch record. Once the manager syncs, the buying team can read them.

Can it link with our accounting software?

Posting entries straight into accounting software is not included. Takings, purchases and transfers export in the layout your finance team uses, and a direct link can be added as a quoted extra.

How long does a rollout take?

Branch count and item master quality decide it, and a pilot branch is moved and checked first, after which the rest follow in groups your operations team chooses.

What decides the cost?

Branches, users and a central hub decide it. A demonstration built on the group’s own formulary comes first, and a written quote follows once the item master has been sampled.

Is a small group too small for this?

Not necessarily. Two or three branches under one owner sharing a single stock room may manage well with the independent pharmacy product. Tell us how many counters draw on that stock room and we will point you to the right product.
