Buy centrally, move stock between branches and keep every counter on one price list.

A pharmacy chain runs many dispensing counters from a head office that buys, prices and audits. The system holds branch stock by batch, inter-branch transfers, central purchase orders, price changes, shared patient profiles and branch rotas, so area managers read every branch beside the others.

At a glance

A chain buys in volume, fixes one range and one price list, and expects every branch to dispense the same way. The centre negotiates with manufacturers and wholesalers. Branches face the patient at the counter.

Between the two sits a gap. Stock levels, expiry lists, price changes and staffing are held branch by branch. Problems reach the centre when a manager reports them, or when a quarterly audit finds them weeks late.

How the work runs today

Branch pharmacists open the prescription queue, dispense and check, and hand over to patients who may collect at a different branch tomorrow. Assistants sell shop lines and scan loyalty cards. Managers watch shelf gaps and ring a neighbouring branch when a pack runs out, hoping the afternoon van can bring it.

At head office, the buying team places consolidated orders with manufacturers and wholesalers and decides which depot or branch receives each line. The pricing team issues rate changes and promotions. Finance reconciles takings and supplier invoices for every branch each week from spreadsheets mailed in by managers, and corrects them by phone.

Area managers visit branches with a checklist for expiry, fridge logs, controlled drugs registers and shelf standards, then type up the findings at night. Short-dated packs are pooled for return to the supplier. Recall notices must reach all branches together.

Where it breaks

What goes wrong for pharmacy chains without a proper system.

A recall must reach every shelf

A manufacturer’s recall names specific batches, and the group must confirm which branches hold them and pull every pack from shelf and dispensing robot on the same day. Today that is phone calls and a shared spreadsheet.

Stock sits in the wrong branch

One branch holds six months of a slow-moving inhaler while another turns patients away for it, and transfers happen by phone with no record that either side can search later. Nothing balances. Expiry write-offs grow quietly.

Prices drift between counters

A promotion starts at one branch on Monday and at another on Thursday, and nobody at the centre knows until a customer quotes the cheaper counter at the till. Margin leaks. So does trust in the price tag.

Patients are strangers at the next branch

A patient who collects a repeat in a different branch is treated as new, so allergy notes, interacting medicines and counselling points stay behind at the first counter. The pharmacist at the second branch starts blind.

Branch audits run on paper checklists

Area managers tick boxes on a clipboard, and trends across branches appear only at quarter end, once someone has typed every sheet into a spreadsheet by hand. Fridge excursions go unseen until then.

What the software does

What we would build for pharmacy chains.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Central purchasing and allocation

Consolidate orders with manufacturers and wholesalers, then allocate each line to a depot or branch by sales history and shelf level. Fast lines are never starved while slow lines pile up elsewhere.

Inter-branch transfers

Raise a transfer between two branches with batch and quantity, track it through dispatch and receipt, and settle the stock value on both sides. Either branch can search the record months later.

Price lists and promotions by branch group

Publish a rate change or a promotion to every branch from one place, with a start date, an end date and the branches it covers. Each till shows the same price on the same morning, with no manual re-keying.

Shared patient profile

Show a patient’s medicines, repeat cycle, allergy flags and counselling notes at any branch, so the pharmacist at a second counter reads the same history as the first. No patient is a stranger.

Batch tracking and recall handling

Hold stock by batch and expiry in each branch, and answer a recall notice with the exact list of branches and quantities to pull. Confirmations come back from each pharmacist on a tablet.

Branch audit and checklists

Run expiry, fridge, controlled drugs register and shelf checks from a tablet, store photos with the findings, and compare scores across branches. Trends no longer wait for quarter end.

Head office dashboards

Read sales, margin, stock cover and short-dated value by branch, region and category, drawn from the same entries the counters make. Nobody retypes a figure into a deck.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions pharmacy chains ask before they call.

Can each branch still run on its own if the connection drops?

Yes, if set up that way. Branches with unreliable links queue entries locally and send them once the line returns, and the choice is made branch by branch during implementation.

Does it work with a central dispensing hub?

Yes. A hub can receive repeat prescriptions from branches, assemble the items in compliance packs and send them out by courier. Your operations team agrees the tracking from hub to branch during set-up.

Can head office change prices for all branches at once?

Yes. A new rate or promotion goes to a chosen group of branches with a start date, and nobody keys it in at each till. Every counter changes together on the date you set.

How do we bring our existing branches across?

Branches move in waves. Item masters, patient lists and opening stock are loaded for one pilot branch first and checked by its pharmacist. The same steps then repeat branch by branch across the chain.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
