Prescription, batch and parcel on one order.

Orders arrive from three channels. Pharmacists check each prescription image, packers scan the batch and expiry of every pack, and a courier collects the parcel against a manifest before the cut-off. The online pharmacy product keeps the prescription image, the pharmacist’s decision per line, the batch packed and the parcel status on one order, and it sets refill reminders.

At a glance

An online pharmacy has no counter. The prescription arrives as a photo, the pharmacist checks it on a screen, and the medicine leaves in a parcel the patient never sees being packed.

That distance puts weight on the record. Each order must show who checked which line, which batch was picked for it, which courier took the parcel, and where the parcel is now.

How the work runs today

Orders pile up overnight from the website, the app and one or two marketplace listings, and a support agent sorts them by whether a prescription is needed. The agent asks for a clearer image when a dose, a hypertension tablet strength or a contraceptive pill pack cannot be read, then queues it for the pharmacist.

The pharmacist accepts, queries or rejects every line and approves a substitution when a brand is missing, whether a syrup, an inhaler or a box of ampoules. Packers work from pick lists by shelf. They scan the batch and expiry of each pack, seal cold boxes for insulin or vaccines with tamper-evident tape, and hand parcels to the courier against a manifest.

Later, parcels fail delivery, patients ask where an order is, and refunds are requested, while the courier returns undeliverable parcels to the bay. Buyers raise orders with wholesalers. The owner watches rejected prescriptions, near-expiry stock, suspected fraud on cash-on-delivery orders and the monthly repeat customers whose thyroid or hypertension supply is ending.

Where it breaks

What goes wrong for online pharmacies without a proper system.

Prescription and order live in different tools

The image arrives through chat or upload while the order sits in the storefront, so proving which pharmacist approved which opioid or antibiotic line means searching two places.

Recall notices cannot be answered quickly

A batch is withdrawn. Without a scan at packing, nobody can list every parcel and every patient that received it, so the search is done by hand.

Cold-chain parcels run against a clock

Insulin pens, ampoules and vaccines need an insulated box and a courier cut-off, and if the courier arrives late nobody knows until the patient rings.

Returned parcels re-enter stock unchecked

An undeliverable parcel returns. Whether its contents may be sold again is decided informally, by whoever is at the bench, and the choice is not written anywhere.

Monthly customers drift to other sellers

A patient on thyroid or hypertension tablets runs out and reorders from a rival whose app sends a reminder, while nobody here sees the refill date coming.

What the software does

What we would build for online pharmacies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Order queue from every channel

Collect website, app and marketplace baskets into one list with payment status, address and the lines that need a prescription, so staff can spot a duplicate or fraud attempt.

Prescription check by line

Hold the image beside the order and record the pharmacist’s name, time and decision on each medicine, with any substitution approved and any narcotic or opioid line marked.

Batch scan and expiry picking

Print pick lists by shelf and capture each pack’s batch and expiry at packing, so near-expiry stock goes out first or is held.

Cold-chain dispatch

Flag temperature-controlled lines such as insulin pens, ampoules or vaccines, note the packing time and box, and watch the courier cut-off for each parcel.

Courier status and returned parcels

Follow delivery attempts, log refused parcels with a reason, and hold them in a bin until a pharmacist decides what happens next.

Refill dates and repeat orders

Work out when each patient’s supply ends, whether a month of thyroid tablets or a pack of pills, and send a reminder with a repeat link.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions online pharmacies ask before they call.

Do we keep our own storefront?

Yes. The storefront or app keeps taking baskets. The pharmacy system receives each order and runs the prescription check, the picking, the manifest and the dispatch behind it, while the storefront stays yours.

Who decides which medicines need a prescription?

Your responsible pharmacist and your regulator do. Each rule, such as prescription-only lines or quantity limits, is written in with your pharmacist present and then checked against every basket at checkout.

Can a recalled batch be traced?

Yes. Because packs are scanned at packing, a batch number lists every parcel and patient it reached, even when the withdrawal covers only one syrup lot. Notifying those patients remains the pharmacy’s decision.

Does it work with marketplaces and couriers?

Yes, where a marketplace or courier offers a connection or a file, with the channels you sell on and the method for each listed in the written scope.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
