Healthcare · Software for independent pharmacies

Run the dispensing bench, the shelves and the repeat-prescription list from one record.

An independent pharmacy dispenses against prescriptions, sells over the counter, keeps expiry-dated stock from several wholesalers and delivers to housebound patients. The pharmacy software holds the prescription queue, batch and expiry stock, patient medication history, wholesaler orders and delivery rounds together. Pharmacists check and sign inside the same record.

At a glance

A prescription reaches the bench on paper, by phone or through an electronic feed. A dispenser labels it. A pharmacist checks it, and the medicine goes out to a patient who is counselled at the counter, with a batch number and expiry date behind every pack. Every pack on the shelf carries its own batch and expiry.

Most independents track this across a dispensing screen, a till, a wholesaler portal and a notebook. Nothing joins them. An owner cannot easily say which packs are close to expiry, which patient is due a repeat, or which wholesaler quoted the better rate for the same pack.

How the work runs today

The day starts with the queue. Prescriptions left overnight are sorted by collection time, owings are checked, and the delivery driver takes bags for housebound patients. A dispenser picks packs, prints a label with the dose and warnings, and passes the tray to the pharmacist for a final check before handover.

Over the counter, an assistant sells cough remedies, vitamins, bandages and baby products, and suggests a pharmacist for anything that needs advice. The owner places the wholesaler order at close, matching the day’s shortages against the order book. Short-dated packs go to a returns box.

Controlled medicines are entered in a register by hand, balanced at a set interval and kept in a locked cabinet. Fridge lines carry a temperature log. Rotas, locum cover and monthly claims to payers all fall on the owner. Each one needs paperwork.

Where it breaks

What goes wrong for independent pharmacies without a proper system.

Expiry is found on the shelf

A box of antibiotics turns up three weeks past its date. Without a batch list by location, nobody can say what else is hiding behind the fresh stock on that shelf.

Repeat prescriptions slip

A patient on a monthly cardiac medicine runs out because the repeat request sat in a drawer. The pharmacy hears about it by phone.

Owings are lost between visits

A part-supplied item is marked owing on a slip. The slip is filed by date, and the patient is not told when stock arrives.

The dispensing check leaves no trail

Who labelled, who checked and when is written in initials on a script. If a query comes back months later, finding the details means turning over a paper bundle in the back room.

Wholesaler orders are guesses

Three suppliers carry different prices and delivery cut-offs for the same pack, and the owner orders from memory. Sometimes the same pack is bought twice.

What the software does

What we would build for independent pharmacies.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Prescription queue and dispensing check

Take each script in with the prescriber, the items and the collection slot. Then log the dispenser, the pharmacist check and the handover time against the same line. A later query opens one record.

Patient medication record

Hold each patient’s current medicines, allergies noted by the pharmacist, repeat cycle and delivery address, so a new script is read against what came before.

Batch and expiry stock by shelf

Receive packs with batch number and expiry. Store them by shelf or fridge. List short-dated lines well before the wholesaler’s return window closes for that month’s credit, so nothing is stranded.

Wholesaler orders and returns

Build orders from shortages and minimum levels, compare supplier rates, record deliveries against the invoice, and raise credit claims for expired or damaged packs.

Controlled medicine register

Keep running balances for each controlled line with entries, supplier receipts and signed counts, laid out the way your own register format asks.

Counter sales and owings

Bill medicines and shop items together, hold part-supplied items as owings, and take payments by cash, card or payer account.

Refill reminders and home delivery

Remind patients when a repeat is due. Plan the round from bags and addresses. Keep the patient’s signature.

Each one is also available on its own, or inside a system built for you.

How it works

How the work runs from Bengaluru for your city.

  1. 1

    The audit, by call

A screen-share and a look at the sheets, accounting reports and WhatsApp groups your team uses. No travel needed.

  2. 2

    A written proposal

Scope, what we build first and the cost, agreed in writing before anything starts.

  3. 3

    Build in short rounds

Working screens shared every few weeks. Your team tests them from your own office.

  4. 4

Go-live, in person when it helps

For data migration and training we can come to your city. Travel is agreed in advance.

  5. 5

    Support online

Fixes, changes and hosting handled remotely by the same team that built it.

Common questions

Questions independent pharmacies ask before they call.

Can labels carry our own warning wording?

Yes. Label layout, dose phrases and advisory text are set up with your pharmacist in charge during implementation, and the system prints only what the pharmacy has approved. It never chooses wording on its own.

Does it handle controlled medicine entries?

It keeps a register of receipts, supplies and running balances for the lines you mark as controlled. The format follows your regulator and is reviewed with the pharmacist in charge.

Can we keep using our wholesaler’s ordering portal?

Yes. Shortages and minimum levels are built here, and the order can be sent by file or typed into the portal. Whether the order reaches the wholesaler by direct link or by file comes down to what their ordering system accepts.

What happens to our existing patient list?

It is imported from your dispensing software or a sheet, with phone numbers and standing repeat prescriptions. The pharmacist reviews the first batch. Nobody dispenses from it before that.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
