Healthcare · Software for home sample collection providers

Follow each blood tube from the front door to the lab bench with a name on every step.

A home collection service sends a phlebotomist to a house and carries tubes back to a laboratory. The home sample collection software ties each booking to a route, a labelled tube, a transport box and a handover signature. Lab partners and customers read the same status.

At a glance

You book a visit, send a phlebotomist, draw the sample, label the tubes and carry them to a partner laboratory. Each tube has a patient, a test panel, a collection time and a person who held it. One gap in that chain sends someone back to the house. That costs a second visit and a second needle.

This software keeps the chain on one record. Call-centre agents, phlebotomists, runners and the lab desk see the same booking and the same tube. The booking call, the fasting note and the report link all follow the way your own collection rounds actually work.

How the work runs today

Bookings arrive by phone, a website form and a corporate camp list. The agent records the patient, the address, the tests ordered and the fasting instruction. A preferred early slot is noted too. The scheduler groups visits by area and gives each phlebotomist a route. The night before, the patient receives the fasting and preparation note by message.

On the road the phlebotomist confirms identity, draws the sample, fills the tubes in the right order and prints or sticks a label at the bedside. Temperature of the carrier box is noted. A runner collects tubes from several phlebotomists and hands them to the lab desk, which scans each one in. A tube that arrives clotted or short is flagged for recollection. Reports reach the patient once the lab releases them, through a link on the booking that the agent can resend when a family phones to ask.

Where it breaks

What goes wrong for home sample collection providers without a proper system.

Tubes are labelled after the visit

A label written in the van or at the depot separates the tube from the person who gave it. Nobody sees the mix-up at the door. It surfaces hours later, when the laboratory bench rejects a tube whose name does not match the request form that came with it.

Visits are scheduled by hand

Early fasting slots cluster in the same hours across the same areas of the service map, because patients must be drawn before breakfast and before their working day begins. Routes are built from a sheet, so one phlebotomist crosses town twice while another has a free morning. Fuel and patience both run out.

Transport conditions go unrecorded

Some samples need a cool box or a time limit between draw and lab. The box temperature and the hours in transit are not written anywhere, and the lab has nothing to read.

Recollection is handled by phone

A haemolysed or insufficient sample means a second visit. The call goes to whoever is free, and the patient is not told who covers the cost.

Lab partners and corporate accounts are billed from memory

Each partner laboratory has its own panel rates, and each company has its own camp price. Invoices are put together from message threads at month end. Errors follow.

What the software does

What we would build for home sample collection providers.

Named the way your team already talks about the work. We start with whichever part the audit shows is costing you most.

Booking desk

Record each request from a call, the web form or a camp roster against the patient, home address, tests, fasting need and chosen slot, then send the preparation note.

Route and slot scheduling

Group visits by area and slot, assign each to a phlebotomist, and reshuffle the route when a cancellation or an urgent request comes in.

Collection visit record

Capture identity check, consent note, draw time, tube types and counts, and a barcode label applied at the bedside, all from the phlebotomist’s phone.

Transport box and handover

Log carrier box temperature, draw-to-lab hours, runner pickups and the scan-in at the lab desk, with a signature at each handover.

Rejection and recollection

Mark a tube as clotted, haemolysed or short, give the reason, and create a recollection visit linked to the first one.

Partner lab rates and results link

Hold each partner’s test list and rate, send the batch, and attach the released report link to the booking for the patient to open.

Billing for patients, camps and partners

Charge a collection fee per visit, price panels by partner, and invoice employers for camps by headcount and tests.

Common questions

Questions home sample collection providers ask before they call.

Can it work with more than one laboratory?

Yes. Each partner has its own test list, rates and handover point. The booking shows which laboratory receives which tube, and one visit can split tubes between two partners.

Do patients get preparation instructions?

Yes. Fasting rules and other notes are held against each test and sent before the visit through the messaging channel you choose.

Can a corporate health camp be run from it?

Yes. A company list is loaded, slots are assigned by employee, and the day’s collection is invoiced to the employer by headcount and panel.

Will pending visits and patient records come across with us?

Yes. Pending bookings, rate lists agreed with partner labs and patient records are copied in from your present sheet while the system is installed. The export format for later use is agreed before work begins.

What happens after I share my requirements?

An engineer reads what you send and replies within one business day. We then look at the software, spreadsheets and WhatsApp groups your business runs on today and write down what works, what slows your team down and what is missing. A demo login, a screen-share or a few screenshots are enough. You get a short written summary ordered by priority, with no obligation to hire us afterwards.

How much will the software cost?

We don’t publish a price, because it depends on what the system has to do. That first review settles the scope, and the cost goes into a written proposal before any work starts.
