Candidate Database for Recruitment Agencies

Every candidate the agency has ever spoken to sits in one searchable list. The profile carries the CV, the last conversation and each mandate the person was put against.

What a candidate profile holds

Contact and CV

Name, phone, mail, city and every CV version received, with the latest marked so an old copy never goes out.

Current position

Employer, designation, years of experience, salary drawn and notice period, as stated on the screening call.

Skills and tags

Skills, qualification, languages and the tags recruiters search by, such as a technology, a sector or a city.

History against mandates

Every mandate the person was sourced for, submitted on, interviewed for or rejected from, with the reason each time.

Do not call and barred

A candidate who asked not to be contacted, or one a client has barred, is flagged before a recruiter dials.

Searching the list

Recruiters search by skill, city, notice period, salary band or employer, and the result shows who was already submitted where. A phone number or mail address finds an existing profile at once. That is how a duplicate is caught. Candidates sourced two years ago for one mandate surface again for a similar role without being pulled off a portal.

How it connects onward

A profile is where sourcing ends and screening begins. The shortlist for a mandate is drawn from these profiles, and the submission, interview and offer records all point back to the same person. A placement writes the joining date onto the profile, so the agency knows who is working where and when that person may be open again.

Limits and agency choices

The database does not score a CV against a job description on its own. A recruiter still reads and rates. Consent for holding candidate details, and how long a profile is kept, are settled with the agency and its advisor.

FAQ

Frequently asked questions

Does it catch duplicate candidates?

Yes. A phone number or mail address already in the list is flagged at intake, and the recruiter opens the existing profile.

Can several CVs sit on one profile?

Yes. Every version received is kept and dated, and the newest is the one attached to a submission.

How are candidates who left a placement handled?

The profile records the exit, so a person who did not stay can be worked again or kept out, as the agency prefers.

Can a profile be hidden from other recruiters?

That is decided with the owner. Some agencies keep profiles open to the whole floor and others hold them by desk.
