Client Submissions for Recruitment Agencies

A submission is the moment a profile leaves the agency and reaches the hiring contact. The date, the format and the reply are all held on the candidate row.

What goes out and what is kept

The profile summary

A short write-up of experience, salary asked and notice, in the format this client expects, sent with the CV attached.

Submission date and route

When the profile went, by mail or WhatsApp, and which recruiter sent it. Both details are recorded.

Client reply

Shortlisted, rejected, on hold or no response, written against that profile with the date the client answered.

Duplicate guard

Any earlier submission of the same person to the same client shows up before the profile can go again, with the mandate and the recruiter who sent it.

Chasing a reply

Profiles sent and still unanswered sit in one list per client, oldest first. That list is what a recruiter works a follow-up call from. Nothing waits in a mailbox. Where the client never answers, the profile is marked no response and the candidate is freed for another mandate. A team lead reading the same list sees which client is slow and which recruiter is waiting.

How it connects onward

A shortlisted profile moves to interview scheduling, where rounds and slots are booked. A rejection carries its reason back to the candidate record, so the next shortlist for that client avoids the same ground. The reason travels back. Submission counts per mandate and per recruiter feed the pipeline report the owner reads.

Limits and agency choices

Submission does not make a client open the mail. Response times belong to the client. The agency sets the format and the follow-up rhythm.

  • Which profile format each client wants, and in which file type
  • Whether the CV goes masked or with the employer name shown
  • How many days before an unanswered profile is marked no response
  • Who may submit directly and who needs a lead to release it
FAQ

Frequently asked questions

Will a duplicate submission be blocked?

Yes. An earlier send of the same candidate to that client is shown, with the mandate and the date, before anything leaves.

Can the employer name be hidden on a CV?

Yes, where the agency masks profiles. Which fields come off is set up once and then holds for every submission to that client.

Is the mail itself sent from the system?

It can be, once a mail route is connected. Agencies that prefer their own inbox record the submission here and send from there.

How is a client who never answers handled?

The profile is marked no response after the days the agency chooses, and the candidate becomes available for other mandates.
