Placement Invoices and Collection for Recruiters

The fee for a closure is invoiced on the trigger the client signed. Payments, credit days and the balance still owed stay with that placement.

Raising the invoice

Ready to bill

Placements where the trigger has been met, listed for accounts with the candidate, the mandate and the fee basis beside each, so no closure is billed twice or missed.

Fee worked out

The amount from the salary agreed and the client fee basis, with any discount the owner approved shown on its own line.

Invoice details

Client billing entity, purchase order number where the client needs one, and the candidate the fee relates to. Small things, often missed.

Sent and acknowledged

When the invoice went, to whom, and whether the client has acknowledged it, so a dispute has dates behind it. The dates settle arguments.

Following the money

Outstanding invoices sit in a list per client, oldest first, with the credit days that client was given. Part payments are entered against the invoice and the balance falls. Balances drop as receipts land. Accounts records every follow-up call or mail, so the next person to chase that client reads what happened last. Owners see dues by client without opening the books.

How it ties back

Every invoice points to a placement, and that placement points to a mandate, a candidate and a recruiter. Recruiter incentive can therefore wait on collection, where the agency pays only on money actually received. A replacement case against a placement shows beside the invoice it touches. The chain holds throughout.

Limits and agency choices

GullySystem does not hold money. Tax on an invoice, and the way these entries post in your books, stay with your accountant or advisor.

FAQ

Frequently asked questions

When is the invoice raised?

On the trigger the client agreed to, which may be the offer, the joining day or a set number of days after joining.

Can part payments be recorded?

Yes. Each receipt is entered against the invoice, the balance updates, and the ageing list reflects what is still open.

Does it post entries into Tally?

Not by itself. Invoice and receipt reports go to your accountant, and an export carries its own quote once the ledgers are explained.

How are dues followed up?

From the ageing list, with each call or mail written on the invoice so the next follow-up starts where the last one stopped.
