Recruitment Software Views for Owners and Recruiters

One mandate passes through several desks in an agency, from the day it arrives to the day the fee is collected. Each role opens only its own work.

One mandate, four desks

Agency owners

Open mandates, the pipeline at every stage, closures made, invoices raised and dues outstanding, read across every recruiter and client. This view decides which mandates get chased.

Recruiters

Your own mandates, CVs to source, screening calls due, submissions awaiting a client reply, interviews today and offers pending joining. It is a working list.

Team leads and account managers

The mandates for your clients, who is working each one, what has gone out and where client feedback has stalled for days.

Accounts

Closures ready to invoice, invoices raised, part payments received, ageing dues and credits arising from a replacement case.

Through a working day

A client mails a requirement, and a lead raises the mandate with its seats and closing date. Recruiters source CVs, screen the willing ones and send a shortlist out. The lead watches submissions with no reply. By evening accounts reads which joinings were confirmed today and raises the fee invoices against them.

At month end

Closures, backouts, dues and recruiter targets come together for the owner. Accounts reads collection and ageing by client. Each recruiter sees a target against what actually joined. Leads read their own desk, while the owner reads every desk and compares them on conversion rather than on activity.

What the agency decides

Roles are not fixed by GullySystem. Who exists on the floor, and what each may open, goes in at implementation and changes later on request.

  • Which roles exist on the floor and who holds them
  • What each role may open, edit, submit or write off
  • Who sees salary drawn and expectation on a candidate profile
  • Whether a recruiter reads mandates belonging to another desk
  • Who may approve a discount or a write-off on a fee
FAQ

Frequently asked questions

Can a recruiter see candidates from another desk?

That is decided with the owner. Some agencies keep the database open to everyone, and others fence it desk by desk.

Do leads approve work before it leaves the office?

Where the agency wants that step, yes. A lead releases the shortlist or the submission, and the release is recorded against it.

Can accounts open candidate records?

Only what a fee needs. Accounts reads the placement, the salary agreed and the invoice, and not the screening notes.

Who changes a role later?

GullySystem staff apply the change when the agency asks. Role permissions are settled at implementation and revised whenever the floor changes.
