Client Records and Fee Terms for Recruiters

Every client company sits on one record with its hiring contacts, the fee basis agreed and the payment days. Mandates, submissions and invoices for that client all hang from it.

What the client record holds

Company and contacts

Registered name, office address, the HR or hiring manager who raises requirements, and the person accounts must chase for payment.

Fee basis

A share of annual salary, a flat amount per seat, or a monthly rate on a contract deployment. Whatever the client has signed.

Payment trigger and days

Whether the fee falls due on offer, on joining or some days after joining, with the credit days the client was allowed.

Replacement window

The days after joining within which the agency gives a free replacement if the placed candidate walks out.

Who works from it

Recruiters open the client record before taking a mandate, so the fee basis and the submission format are known before any CV moves. Team leads see which mandates belong to which client. Accounts reads the payment trigger and credit days when raising a placement invoice. Owners read closures and dues by client.

How it connects onward

A mandate cannot be raised without a client behind it. The fee basis on the client record decides what the placement invoice carries, and the replacement window starts counting from the joining date. Change a term on the client record and new mandates pick it up, while placements already billed keep the terms they were billed on.

Limits and agency choices

The record holds terms, not accounts. How a placement fee is treated for tax stays with your accountant or advisor. The agency decides the rest.

FAQ

Frequently asked questions

Can two fee bases run for one client?

Yes. A client hiring on both permanent and contract terms carries a fee basis per mandate type, each with its own payment trigger.

Who may edit a fee term already signed?

That edit right is settled during implementation. Most agencies keep it with the owner or the account manager, and recruiters only read the term.

Does the client log in to see mandates?

Only if a client view is built. It carries its own quote, and the agency decides what a hiring contact may read.

Are old closures affected by a term change?

No. A billed placement keeps the terms it was invoiced on, and the new basis applies from the next mandate onward.
