Offers and Joining for Recruitment Agencies

An offer is not a placement until the candidate reports at the client office. This module follows that gap, day by day, on one row.

What the offer record holds

Salary agreed and designation

What the client finally offered and under what title, which also settles the fee the invoice will carry.

Offer and acceptance dates

When the letter went out and when the candidate accepted, with a copy of the letter attached. Both of those dates matter.

Notice period and joining date

Days of notice to serve at the present employer, and the joining date promised to the client.

Documents collected

Resignation proof, relieving letter, pay slips and identity papers, with whatever is still awaited listed so the recruiter knows what to chase before joining.

Reported or not

Whether the candidate actually turned up on the joining date, which is the point a placement becomes real. That is the test.

Through the notice period

Offers awaiting joining sit in one list, sorted by joining date, with the days left against each. The recruiter calls the candidate during notice and writes down what was said, because this is the window where a counter offer appears. Each call is logged. A date pushed by the candidate or the client is changed on the record while the old date is kept. Dates shift, history remains.

Joining and what follows

On the joining date the recruiter confirms with the client that the candidate reported. That confirmation starts two things: the replacement window and the invoice. Someone who backs out is marked before joining, the seat on the mandate reopens, and the recruiter returns to the shortlist already built. The seat is live again.

Limits and agency choices

The offer letter itself comes from the client, not from the agency system. Salary negotiation stays a conversation between the three parties.

  • Who may change a joining date already given to the client
  • How often a candidate on notice is called
  • Whether a backout reason is picked from a fixed list
FAQ

Frequently asked questions

Does the system write the offer letter?

No. The client issues the letter, and the agency attaches a copy to the offer record for its own file.

Can a joining date be moved?

Yes. The new date replaces the old one, the earlier date stays in the history, and the pending joining list reorders itself.

What happens on a backout?

The offer closes as a backout with a reason, the mandate seat reopens, and no fee invoice is raised against it.

Is the day of reporting captured?

Yes. Joining is confirmed with the client, and both the replacement window and the fee count from that day.
