Interview Scheduling and Feedback for Recruiters

Each round of an interview is booked, confirmed and then answered. The slot, the panel and the verdict stay on the candidate row for that mandate.

What a round holds

Round and mode

Telephonic, video or in person, numbered so a candidate in the third round is never confused with a fresh one.

Slot and panel

Date, time and the client interviewer, with the office or the link where the candidate must report.

Candidate confirmation

Whether the candidate took the slot, asked for another or stopped answering the phone. Each reply is noted.

Verdict

Selected, rejected, on hold or no show, written by the recruiter after the client panel speaks. One line, no ambiguity.

Reason and notes

What the panel said, in the recruiter words, so the next shortlist for this client reads differently.

Reminders and reschedules

A confirmed slot can send a reminder to the candidate over WhatsApp, SMS or mail, carrying the address and the interviewer name. Reschedules keep the history of the earlier slot. Slots move, history stays. A no show is recorded against both candidate and mandate, which matters when the same person applies again. Recruiters open the day list and see every interview due, across clients.

From verdict to offer

A selected candidate moves to the next round or to offer, and the mandate count shifts with it. Rejection writes the reason onto the candidate record and the shortlist. Where the client wants a further round, it is added under the same submission rather than starting over, so the earlier verdicts stay attached to the candidate. Nothing restarts from zero. Feedback stuck for days shows in the pending list a team lead reads.

Limits and agency choices

The system books only what the client has agreed to. It does not read a panel calendar unless that calendar is connected, and that is settled while scoping.

  • Who confirms a slot with the candidate, recruiter or coordinator
  • How long a verdict may stay pending before it is chased
  • Whether panel names are visible to the candidate
FAQ

Frequently asked questions

Can candidates be reminded of a slot?

Yes, over WhatsApp, SMS or mail once the channel is connected. The wording and the sending hours are agreed with the agency.

Does it read the client panel calendar?

Only where a calendar is connected. Which calendar, and how much of it can be read, is settled while scoping.

How is a no show recorded?

As a verdict on that round, against both candidate and mandate, so a pattern shows if it repeats.

Can one submission carry several rounds?

Yes. Rounds are numbered under the same submission, and each one keeps its own panel, slot and verdict.
