Restaurant Software Views for Owners, Captains and Cooks

A restaurant has people standing in very different places, so each one opens a screen built for that spot. The records underneath are the same.

What each person opens

Six roles cover most restaurants, and an outlet can add or rename them.

Owner

Reads the day and the month. Sales by dish and session, the dine-in and delivery split, discounts given, store issue against dishes billed, supplier dues and the short or excess of each shift.

Manager

Works the floor and the counter together. Approves cancellations and discounts, watches the pending kitchen list, draws the roster and closes the shift with the cashier.

Captain or steward

Sees the tables in his section, punches items with portions and instructions, reads which dishes are still in the kitchen and calls for the bill.

Cook and pass

Sees tickets at that station in the order they arrived. Marks a dish ready, flags a delay, and marks an item finished for the day.

Cashier

Bills the table or token, settles across cash, UPI, card and platform collections, records cash paid out, and counts the drawer at close.

Store and purchase man

Enters market and supplier purchases, issues against kitchen indents, records wastage and carries the buying list to the market.

Why the screens differ

A captain on the floor needs a short list of tables and a menu he can punch in a hurry. A cook wants his own station and nothing else, because reading another station’s dishes only slows the pass. The owner wants figures rather than screens to work on. Building one screen for all three would serve none of them well. So each role opens its own, and the records underneath never fork.

Who may do the sensitive things

  • Cancelling a cooked dish or a printed bill
  • Giving a discount beyond a limit you set
  • Sending a complimentary dish from the kitchen
  • Changing a dish rate or adding a dish
  • Reopening a shift that has been closed
  • Reading staff advances and wage notes

What roles do not change

Roles decide what a person opens, not what the restaurant records. A bill is still a bill. An order punched by a captain and one punched at the counter reach the kitchen in the same form, and the day figures count them together. Which role your staff get, and what each may approve, is settled with you before you go live and changed later on a word from the owner.

Frequently asked questions

Can a captain see the day’s sales?

No, unless you allow it. By default the money figures stay with the owner, the manager and the cashier.

Does every cook need a login?

No. A station screen can be shared, and marking is done by whoever is at the pass.

Can one person hold two roles?

Yes. In a small restaurant the manager often bills as well, and both sets of rights sit on one login.

Who changes what a role may do?

The owner asks, and our staff make the change. It takes effect from the next login.
