A Checklist Before Moving an Energy or Power-Backup Business Off Paper

Before moving off paper, list every installation with its serial numbers, contract and renewal date, then the material issued to each site. GullySystem’s solar installation product and monitoring dashboard cover part of this group, and the rest is built to order. Device links are scoped per make.

List every installation and its serials

Start with what is already on a customer’s premises. A module, a battery or an inverter has a serial number, an installation date and a site.

Many of these sit on a job slip or a warranty card. Collect them into one register, so a claim starts from the customer’s record and not from a search.

Attach the contract and the renewal date

A plant’s contract sets its response time and cleaning frequency. An AMC has a start and an end. Both are usually in a folder or a diary.

Put each contract beside its installation. Renewals then appear before the date, not when the customer calls about a breakdown.

Count material out and back

Cable, spares and old batteries leave the godown and rarely return to a count. The cost is lost against the job that used them.

Book each item to a named site or plant when it leaves. Record returns and offcuts, and show the balance by job.

Mark the approvals that wait on others

A net meter application, a subsidy claim or a test report sits with an outside office. The customer calls you every morning, and the file belongs to somebody else.

Track the file, its documents and the stage it has reached. Record what was asked when it stopped. The filing itself stays on the portal under your own login.

Decide what readings you really need

Inverter portals, loggers and meters differ by make. Each link to a device is scoped on its own, and GullySystem does not supply meters, sensors or gateways.

List the readings your reports use today and where they come from. Add device links only for those, once the visit and contract records work.

Give each installation a row. Columns hold the customer, the site, the serial numbers, the warranty end, the contract and the renewal date. Fill thirty rows and note which columns were hardest to find.

Questions owners ask

Can one product cover solar, batteries and UPS dealers?

No. The solar installation product follows rooftop jobs, and the monitoring dashboard reads meters and drives. Battery dealers, power backup dealers and maintenance firms are built to order around their own records.

Does it read inverter or meter data on its own?

Not by default. Monitoring portals and data loggers differ by make, so each link is scoped per device once the equipment is known.

Does it file subsidy or net metering applications?

No. Portal work stays under your own login. The software tracks the file and the stage it has reached.

Will it decide whether a warranty claim is valid?

No. The brand decides that. The system keeps the sale date, the serial and the claim’s status.
