Software Solutions for Commercial Vehicle Tyre Sellers

Commercial vehicle tyres are bought by fleets, transporters and bus operators for trucks, buses and tippers, in heavy sizes and large numbers. Sellers online work on quotations and credit accounts, track retreadable casings, and fit at a depot or roadside. A consumer cart rarely suits any of it.

At a glance

Quote and supply tyres to fleets, with casings, retreads and accounts tracked.

A truck tyre is a working asset. Fleets track each one by position on the vehicle and by kilometres run, and want the seller to do the same.

Businesses and operating models

Dealers supplying fleets

A dealer sells to transporters on account, at rates agreed for each fleet, and fits at its depot or the fleet’s yard.

Retread and casing traders

A trader buys used casings, retreads them through a partner and sells them back as retreads.

Distributors to sub-dealers

A distributor sells cartons and loads to smaller dealers at trade rates, with schemes from the maker.

How an order moves

The workflow for commercial vehicle tyres.

  1. 1

    Requirement or enquiry

A fleet sends a list of vehicles and sizes, or asks for a rate on a size. The seller replies with a quotation.

  2. 2

    Quotation to order

A quotation shows rate, quantity and validity. The fleet confirms by purchase order, and credit is checked.

  3. 3

    Fitting at depot or roadside

Tyres are fitted at the depot or at the fleet’s yard, and each is recorded against the vehicle and wheel position.

  4. 4

    Casings taken back

Worn casings are counted, graded for retreading and tracked to a retreader or to disposal.

  5. 5

    Statement and collection

Invoices roll into a monthly statement per fleet, with payments applied to the bills they settle.

Where it breaks

The challenges, and what they cost.

Orders arrive as lists, not carts

A transporter sends sizes for twenty vehicles by message. Re-keying them into a shop cart is slow and error-prone.

Tyre history is lost with the vehicle

Which tyre sits at which position, and how far it has run, lives in a driver’s notebook.

Casings vanish between depot and retreader

A casing sent for retreading is not counted at either end, and nobody can say where it is.

Credit runs ahead of collections

Fleets pay late. Without a limit shown at order time, new supply goes out to accounts that are already overdue.

Requirements to assess

What is specific to this trade.

These are requirements we would confirm in discovery. They describe what the solution may need to handle. They are not features that already exist.

  • Quotations and purchase orders as the main route, with a cart as the exception
  • Tyres recorded against a vehicle and wheel position
  • Casing and retread tracking between the depot and the retreader
  • Credit limits and statements per fleet
Recommended modules

What we would build for commercial vehicle tyres.

Chosen from the commerce capabilities this business needs, not a list of everything.

Fleet portal

A login where a fleet places repeat orders at its agreed rates and sees its own statement.

Quotations with validity

Build a quotation from the rate list, send it and convert it into an order when accepted.

Vehicle and position record

Store tyres by vehicle number and wheel position, with fitting date and distance run.

Casing and retread tracking

Count casings in, grade them and follow them through retreading.

Credit limit and hold

Show limit and overdue at order time and hold orders past the limit for release.

Users and permissions

Who works in the system, and what each can do.

Fleet manager

Orders for vehicles, checks tyre history and downloads statements.

Depot supervisor

Sees fitting jobs and casings received for the day.

Accounts team

Applies payments, chases overdue bills and releases held orders.

Integrations

What it would connect to.

An integration is confirmed only after its API, access and scope are checked. A connection that updates on a schedule is described as scheduled, not real-time.

  • Maker and distributor ordering, added after access and terms are checked
  • Accounting software, through a file export or a connection scoped later
  • Retreader records, through a shared sheet or a partner login if you agree one
Implementation

How the work runs, and what we need from you.

What you provide

  • Your fleet customers with their agreed rates and limits
  • How you grade casings and who retreads them
  • Sample vehicle lists from two or three fleets

Start with one fleet

One account is set up completely, from quotation to statement, before others are added.

Model the casing journey

Count points and statuses are fixed with the depot team before software is built.

Deliverables

What you receive.

  • A fleet ordering portal
  • Quotation and purchase-order flow
  • Vehicle-wise tyre record
  • A casing and retread register
Measurement

How progress is judged.

Measures are agreed against your own baseline. We do not promise a result in advance.

  • Casings sent for retreading and not traced
  • Fleet orders keyed by hand
India and international

Selling at home and abroad.

Truck and bus tyre sizes, load ratings and vehicle classes differ between markets, and fleets abroad may expect different invoicing terms. Rules on retreading and casing movement are confirmed with your adviser.

Common questions

Questions about commercial vehicle tyres e-commerce.

Do fleets need a login to order?

For repeat buyers, yes. A login shows their rates and statement. A one-off buyer can ask for a quotation without one.

Does the system retread tyres?

No. Retreading is done by a retreader. The system counts casings in and out and follows them to the person who retreads them.

Can it replace a driver’s notebook?

It can hold the same facts, such as position and distance, if drivers or the depot enter them. Whether they do is a matter of practice.
