Batches, lab seats, modules, fees and exam vouchers on one record.

Counsellors turn enquiries and demo classes into admissions. Each batch gets a trainer, a slot and numbered lab workstations, and every session is logged against a module such as SQL joins or subnetting. Practical assignments, fee instalments, completion certificates and Pearson VUE or Certiport exam vouchers all hang from one student record, so counsellor and trainer read the same facts.

  • Course names, module order, batch templates, fee plans and certificate wording are set up as your institute teaches and quotes them, and counsellors sign off every screen.
  • Your student list, running batches and part-paid balances move over from old registers and spreadsheets, then each batch is compared line by line with its paper register.
  • GullySystem staff edit course lists, batch templates, fee plans and voucher lists when asked, so no counsellor touches the configuration.

Institutes teaching Python, CCNA networking or Figma design in one lab or several centres use this system, which GullySystem builds around their course list. Counsellors, trainers and lab staff use it daily. Each student record carries admission, batch, workstation, module progress, submitted work, instalments and certificate status, and voucher stock falls when a student sits the exam.

Where it breaks today

What goes wrong before the software.

Two batches claim the same bank of machines

The wall chart names the batch for Lab 1 but cannot show who sat at workstation 14, so a corrupted Visual Studio install or missing project folder traces to no one. Blame lands on the nearest trainer.

Module coverage varies across trainers

A student who moves from the morning batch to the evening one can miss the SQL joins module entirely, because nothing records which trainer taught which module. The gap surfaces at the oral review.

Project files arrive from every direction

Capstone projects reach the trainer by email, WhatsApp, USB drive and a shared Google Drive folder, so nobody can list who has submitted a Flask app. Marking waits on the hunt.

Certificates are requested before dues clear

A student asks for the completion certificate in the final week while two instalments are open, and the ledger is consulted only after the sheet is printed and signed. Then the argument begins.

Vendor exam vouchers expire in a drawer

Vouchers for CompTIA or Microsoft papers are bought in bulk and handed out by hand, so the drawer count, the issued count and the printed expiry date seldom agree. An expired code is pure loss.

Placement lists and course records are separate

Employers ask for profiles of finished students, and skills such as Docker, Git or Excel macros get pulled from trainer messages and half-remembered demos. The course record never captured them. Placement staff guess.

How it runs

How the work flows through it, step by step.

Illustration with sample figures. Your screens are built around your own records.
  1. 1

    Enquiry and demo

Counsellors log the course asked about, the candidate’s background and the preferred slot, then book a demo class and set the follow-up call against the enquiry. No lead rests on memory.

  2. 2

    Admission

The student picks a course and batch, a fee schedule with instalments is fixed, and the first receipt is printed beside the identity copy and guardian details. Paperwork is done once.

  3. 3

    Batch and machine

A batch gets a trainer and a slot, and the lab in-charge reserves one numbered workstation per student, checking the Ubuntu or Windows image first. Seat 14 stays seat 14.

  4. 4

    Sessions and modules

Trainers mark attendance against the module covered, and practical tasks such as a normalised schema or a working subnet plan attach to it. Every lab hour leaves a trace.

  5. 5

    Assignments and assessment

Students upload practical work, trainers record marks and remarks against each task, and the capstone is reviewed in an oral review where a resubmission keeps the earlier file. Nothing gets overwritten here.

  6. 6

    Completion and placement

Dues, attendance and the capstone mark are checked before the certificate prints, and a voucher is issued by name where the course ends in a vendor test. Placement staff then send profiles.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Enquiries and demo classes

Log every enquiry against the course asked about and the preferred batch timing, book a demo class in a named lab, and schedule the counsellor’s follow-up call.

Admissions and student records

Open one admission per course taken, holding contact details, an identity copy, guardian consent for minors, the chosen batch and the signed rules of lab conduct.

Batches and trainer timetable

Plan batches by course, trainer, weekday and slot, and give each trainer a timetable that flags a clash, such as one trainer holding Java and Photoshop at once.

Lab seat and machine allocation

Assign each student a numbered workstation for the batch, and log faults, software installs, disk image rebuilds, keyboard swaps and RAM upgrades against that workstation.

Course modules and attendance

Store each course as ordered modules with planned hours, mark attendance per session, and show which modules a batch has finished and which a late joiner still owes.

Assignments and project submissions

Set practical tasks with a due date, attach the zipped projects and design files a student submits, and record the trainer’s marks, remarks and resubmission against the same task.

Fee instalments and receipts

Schedule instalments by due date, accept cash, card or bank transfer, print a numbered receipt, and list every student whose dues are overdue with the amount and days late.

Certificates and completion

Check attendance, the capstone mark and open dues, then issue a completion certificate carrying the course name, start and end dates, hours taught and the grade band awarded.

Vendor exam vouchers

Log vouchers by vendor, exam code and expiry date, issue each to a named student, and store the pass mark and the score report that comes back.

Placement drives and profiles

Build a profile from the course record and capstone work, listing skills such as Git, SQL or Excel macros, and track which employer received it and what followed.

Reminders and student messages

Send batch start times, instalment dues, assignment deadlines and exam dates by SMS, email or a messaging app, using wording the institute has approved for each message.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Lead Management

Walk-in, phone and web enquiries are logged against the course asked for, and a counsellor’s follow-up date is fixed before the caller leaves the desk.

  • Resource and Room Booking

Each lab and time slot is held by one batch, and numbered workstations are assigned per student so a double booking shows before the batch starts.

  • Attendance & Time Tracking

Trainers mark who attended each session and which module was taught, which builds a running record of covered topics for every batch and every late joiner.

  • Task Management

Practical tasks carry a due date and an owner, and each student’s submitted file, mark and resubmission sit under the task they answer.

  • Receipts Management

Instalments are scheduled by due date, every payment gets a numbered receipt, and the counsellor sees the open balance per student before quoting a certificate date.

  • Stock Tracking and Alerts

Vouchers are counted when bought and again when issued, and the owner is alerted before an unused one passes its printed expiry date.

  • Document Management

Identity copies, completion certificates and grade sheets are filed on the student record and printed with course dates, hours and the signatory’s title.

  • WhatsApp, SMS and Email Notifications

Batch start times, instalment dues, assignment deadlines and exam dates go out from the student record by SMS, email or a messaging app.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the institute owner

See admissions by course, batch fill, lab slot use, fees due against collected, and which courses keep drawing fresh enquiries from walk-ins, billboards and online ads.

For counsellors

Work the enquiry list, run demo classes, complete admissions, take instalments, print receipts and chase each overdue fee without opening a separate ledger book.

For trainers

Open your batches, mark attendance, record the module covered, collect assignments, enter marks, and see at a glance which students are behind on the capstone project.

For the lab in-charge

Assign workstations to batches, log faults and software installs, and see which evening and weekend slots in each lab are still free for a new batch.

Reports

The numbers the owner asks for.

  • Admissions by course and month
  • Batch strength and seats left
  • Lab slot use and workstation fault log
  • Module completion by batch
  • Capstone submissions pending marks
  • Instalments overdue by student
  • Exam vouchers issued, unused and near expiry
Good fit

Who this is built for.

  • Single-lab institutes teaching office tools and basic programming
  • Institutes teaching software development, data or networking
  • Design and multimedia training centres
  • Accounting software training centres
  • Authorised vendor exam centres
  • Institutes with more than one centre
Honest answer

When it is not the right choice.

  • One trainer coaching four learners in a spare room gets by with a register book, a phone and a shared spreadsheet of fees.
  • An institution that awards degrees, sets semester timetables and runs university examinations will find School/College Management System closer to its needs than this one.
Made to fit

Adapted to your business before it goes live.

You are not handed a login and left to it. The product is set up around your records, your people and the tools you already use.

Your courses and modules

Course names, module order, planned hours and the software versions taught are entered the way your institute describes them to students, down to the Python or Java release.

Fee plans and discounts

Instalment schedules, early-payment offers, corporate batch fees and refund rules follow the way your counsellors quote today, including the payment dates they promise.

Students and batches moved across

Counsellors compare imported student lists, live batches, workstation numbers and unpaid instalments against their paper registers, one batch at a time, before anyone relies on the new screens.

Certificate layout

Your certificate wording, seal position, signatory titles and grading bands are reproduced on the preprinted stock you already use, whether that is A4 parchment or a laminated card. The institute decides what each line says.

Hosting and changes

Centres log in to servers run by GullySystem. When you ask, our staff edit the course catalogue, batch templates, fee plans and voucher lists, and the change is visible to every centre.

Common questions

Questions owners ask before a demo.

Is this for institutes or for colleges?

For institutes. Short courses, rolling batches, lab workstations and vendor exams are the shape it follows, and it does not model semesters, credit hours or degree programmes.

How are lab machines handled?

Every workstation carries a number that a batch assigns to one student, and the lab in-charge logs faults, reimages and software installs against that number. History stays with the machine.

Can a student join a batch midway?

Yes. The student joins from a chosen module, and earlier modules are marked as missed or to be repeated, so the gap is visible to the trainer.

How are assignments stored?

Each upload, whether a zipped Flask project or a Photoshop file, attaches to the student and the module task, and a resubmission keeps the earlier version intact. Marks and remarks sit beside it.

Can a certificate be held back for unpaid fees?

Yes. The certificate step checks attendance, capstone status and open instalments, and the counsellor decides whether to hold the sheet, accept a part payment or release it with a note.

Does it run vendor exams for us?

No. It tracks vouchers bought, issued and expired, and stores the score report you key in, because the exam itself is sat on the vendor’s own platform.

Can we have several centres on one system?

Yes. Each centre keeps its own batches, labs, trainers and cash drawer, while the owner reads admissions, fee collection and lab utilisation across every centre from a single login.

Can student lists come from our current register?

Yes. Counsellors hand over enrolment lists, course names, batch rosters and part-paid balances straight from their sheets. Then they pick a few students and check them against the paper registers first.

Who holds the student records?

The institute does, and the written quotation states the export format for student, attendance, fee and voucher records before any work begins, so leaving means taking your files.

What would it cost for one lab?

Centres, labs and users set the base. Whether an attendance device or online card payments connect matters too, as does moving enrolment lists and part-paid fee balances. No figure is written first. A walkthrough on your own courses and batches comes before the quotation, which prices each module on its own.

How soon could counsellors and trainers start using it?

Enquiries, admissions and fee instalments suit counsellors from the outset. Batches, trainer timetables and attendance can follow right behind. Lab workstation logs, assignments, certificates and exam vouchers arrive later. Dates for every stage are in the proposal.

What should the institute collect before starting?

Collect the course list with module order, the batch roster for each lab, fee plans with discounts, and the paper registers of unpaid instalments. A certificate sample, a receipt book page and a voucher list help. Counselling, training and the lab each need a point person for questions.
