Manufacturing · Hospital Furniture Manufacturer Management Software

Run tender orders, frame fabrication, coating, assembly and ward deliveries in one system.

Manage tender schedules, quotations, cutting lists, frame welding, powder coating, actuator and castor fitting, load checks, ward-wise packing and spares from a single record. Each bed, couch or trolley carries its tube batch, coating run, fittings and test sheet from the first cut to the ward drop. Planners, fabrication, assembly, quality and dispatch staff work from the same serial.

  • Tender items and bed models entered along with the rates you currently quote
  • Live tenders, delivered serial numbers and past spares orders brought across
  • Our team amends bed models and check sheets whenever you ask

Hospital bed, trolley and couch makers run tender quotations, tube cutting, welding, coating and assembly here. Each piece carries a serial with its tube batch, coating run, actuator and castor set. Quality records and ward-wise packing lists follow the serial, and later spares are quoted from what was supplied.

Where it breaks today

What goes wrong before the software.

Tender schedules live in spreadsheets

One ward tender can list dozens of trolleys, beds and lockers, each with its own size, finish and fittings, while the welders work from a printed sheet that keeps being revised. Errors follow.

The welded frame loses its identity

After welding and coating, a frame looks like any other, and the tube lot it came from is no longer known.

Coating records stay at the oven

Cure time, colour code and film thickness are noted on a run sheet that nobody joins to the beds that were hung on the rack.

Actuators and hand controls are bought in batches

Bed motors arrive in supplier lots. When one fails in a ward, nobody can link it to its lot or to the bed it was fitted on.

Mattress and bed are made apart

Foam or PU mattress platforms are cut and covered in a separate bay, so a ward receives beds and mattresses that do not match the order.

Load checks have no place to live

Rail load tests, platform tests and castor brake checks are done and signed on paper, then filed away from the bed they approved.

How it runs

How the work flows through it, step by step.

  1. 1

    Tender intake

The tender schedule is entered line by line with sizes, colours, fittings and ward quantities, and priced from your rates.

  2. 2

    Cutting and fabrication

Tube cutting lists and jig numbers are released per model. Welders record the frames finished and any rework.

  3. 3

    Pretreatment and coating

Frames are grouped into rack loads, coated or polished, and each run is saved with colour, cure and thickness readings.

  4. 4

    Fitting and assembly

Actuators, rails, castors, hand controls and platforms are fitted and the lot numbers of motors and castors are noted against the serial.

  5. 5

    Checks and packing

Load, brake and finish checks are signed on screen, then beds are packed ward by ward.

  6. 6

    Delivery and aftercare

A delivery note per ward drop is printed, and the serial list becomes the basis for later spares and repairs.

Modules

What is inside.

Every module can be switched on, left out or changed to match how your team already works.

Tender schedules

Enter a hospital tender line by line with model, size, colour and ward quantity, and compare it with what has been built.

Costing and quotations

Price beds, lockers and trolleys from tube weight, sheet, coating, fittings and packing, and keep each revision for the buyer.

Tube cutting lists

Release cutting lists and bend or weld jig numbers per bed model, with the bill of materials behind each list.

Welding and frame tracking

Record frames welded by bay and welder, with rework and rejects, so work in progress is counted at each bench.

Coating and polishing runs

Group frames into rack loads, note colour code, cure and thickness, and link every frame to its run.

Actuator and castor lots

Hold lot numbers of motors, hand controls and castors, and attach them to the serial of the bed that received them.

Mattress and platform work

Plan foam cutting, covering and platform fitting so mattresses are made for the beds on the same order.

Load and brake checks

Capture rail load, platform load, castor brake and finish checks per serial, with the inspector and date.

Ward-wise packing lists

Build packing lists per ward from confirmed orders and print one delivery note for each drop.

Spares and repairs by serial

Find the bed a ward is calling about, see what was fitted, and quote the right hand control or castor set.

Solutions inside

The business modules it is built from.

Each one is also available on its own, or inside a system built for you.

  • Estimate/Quotation Management

Beds, lockers and trolleys are priced from tube weight, coating and fittings, and each revision sent to the hospital buyer is saved beside the earlier one.

  • Bill of Materials

Each bed model carries its tube lengths, rails, platform and fittings, so the cutting list released to the tube shop matches the model.

  • Work Order Management

A work order releases a batch of frames to the welding bay, and welders record what was finished, reworked or rejected.

  • Batch and Serial Tracking

Motors, hand controls and castors are received by lot and attached to the serial of the bed that received them.

  • Quality Control

Rail load, platform load, castor brake and finish checks are signed per serial, with the inspector, date and result kept.

  • Job Work Management

Frames sent to an outside coater or polisher are tracked out and back, with the run, colour and quantity returned.

  • Order Management

The confirmed tender is held with all its lines, and quantities built, packed and delivered are compared against ward demand.

  • Service Reports and Proof of Visit

Each repair or replacement visit is recorded on the bed serial, so the next spare quoted is the part actually fitted.

Services

How we would put it in.

Setup, data migration, integrations and anything built on top.

Who uses it

One system, each person sees their part.

For the tender desk

Enter schedules, price lines, track revisions and see which wards are yet to be supplied.

For fabrication and welding

See the cutting list and jig for each model, and record frames completed and reworked.

For coating and finishing

Plan rack loads, save colour and cure readings and link them to each frame.

For assembly and quality

Fit components against the serial, sign load and brake checks, and hold back beds that fail.

For dispatch

Pack by ward, print the note for each drop and record the vehicle and receiving ward.

Reports

The numbers the owner asks for.

  • Tender lines supplied against ordered, by ward
  • Frames in welding, coating and assembly
  • Coating runs with colour and thickness readings
  • Actuator and castor lots against bed serials

Common questions

Questions owners ask before a demo.

Can a tender with many lines be entered in one go?

Yes. A schedule can be keyed line by line or loaded from a sheet, and every line keeps its model, size, colour and ward quantity. Later edits change one line, not the whole schedule.

Does a serial follow the bed through coating?

Yes. Frames get an identity at welding. The coating run they hang in is linked to that identity. A finish complaint then points to one run.

Can mattresses be matched with their beds?

Yes. A mattress order sits beside the bed order for the same ward, and packing shows what is complete and what is still waiting.

How are load and brake checks recorded?

Your inspector signs each check on screen against the serial, with the result and date. Pass limits are the ones your quality staff and buyers set.

Can we see which wards still need beds?

Yes. Ordered, built, packed and delivered quantities are shown per tender line and ward, so open balances are visible.

Can spare castors and hand controls be sold later?

Yes. Spares enquiries are linked to the bed serial, so the part quoted is the one that was fitted.

Where do actuator lot numbers come from?

They are taken from the supplier delivery note at goods receipt and attached to the beds that receive them during assembly.

What does it cost?

No price is published. Three things shape the scope: the people who sign in, the workshops that build beds and the amount of configuration you want. A trial on your own bed models comes first.

What happens to old tender records?

Open tenders and past supplies can be loaded from your sheets, so spares history starts with real data.

Who looks after the system?

GullySystem hosts it and staff make changes to models, checks and print formats when you ask.
